SPF, DKIM and DMARC get most of the attention in spam-troubleshooting advice, and they matter, but a domain can have all three configured perfectly and still land in spam — because modern spam filters weigh sender reputation and recipient engagement just as heavily as authentication records.
Sender Reputation Is Cumulative, Not a One-Time Check
Every mail server you send to quietly tracks how recipients treat your previous mail: opened and replied to, or immediately deleted and reported as spam. A domain with a history of high engagement builds reputation that helps future mail land in the inbox; a domain whose mail routinely gets ignored or marked as spam builds the opposite, regardless of how correctly SPF and DKIM are configured.
Shared IP Risk on Budget Hosting
On shared hosting, your outbound mail often leaves from an IP address used by hundreds of other accounts. If even one of them sends genuine spam, the shared IP's reputation drops for everyone on it — your carefully-written, entirely legitimate invoice email inherits a reputation problem it did nothing to cause. This is one of the strongest practical arguments for a dedicated sending IP or a reputable platform (Workspace, Zoho) once email volume becomes business-critical.
Content Signals That Trigger Filters
Heavy use of promotional language ("FREE," excessive exclamation marks, ALL CAPS subject lines), a large image-to-text ratio, broken HTML formatting, or links to domains with poor reputation all raise a message's spam score independent of authentication. A plainly formatted, mostly-text business email with a clear subject line scores better than a heavily designed HTML newsletter, even when both come from an authenticated domain.
New Domain Warm-Up
A brand-new domain has no sending history at all, which some filters treat with extra caution by default. Sending a large volume of email on day one from a fresh domain — even entirely legitimate email — can trigger spam placement simply because the domain has no track record yet. Gradually increasing volume over the first few weeks ("warming up") builds the reputation history filters look for.
What Actually Helps, in Priority Order
- Correct SPF, DKIM and DMARC (necessary, but not sufficient alone).
- A dedicated or reputable-platform sending IP rather than a low-quality shared one.
- Plain, genuine content — avoid promotional-style formatting for regular business correspondence.
- Consistent sending patterns and a gradual ramp for new domains.
- Monitoring actual engagement (opens, replies) as an early signal something's wrong before deliverability visibly collapses.
Authentication is the floor, not the whole picture — reputation and engagement are the parts most guides skip, and they are usually where the real problem hides once the DNS records check out clean.
A Practical Monitoring Habit
Rather than waiting to notice deliverability problems from a frustrated client saying "I never got your email," periodically send a test message to a free deliverability checker and review the resulting score and specific flags. Doing this monthly, or after any change to your sending platform or volume, catches a developing reputation problem while it's still a minor dip rather than after it's cost real business.
