Professional Email on Shared Hosting: Do It Properly, Know Its Limits

Included with your hosting is something businesses pay separately for everywhere else: unlimited-ish email on your own domain. Set up properly, cPanel email serves a small business for years. Set up casually, it becomes the flaky thing everyone blames. Here is properly, plus an honest map of its borders.

Create mailboxes like you mean it

• Real people get mailboxes (sita@, ram@) with strong unique passwords; roles get forwarders (info@, sales@ forwarding into real mailboxes). Forwarders cost nothing and reorganize freely as staff change.
• Set mailbox quotas deliberately: unlimited mailboxes on a limited disk is how hosting accounts silently fill. Two or three GB per person with a warning at 80 percent keeps everyone honest.
• One admin catch-all decision: catch-alls (receive anything@yourdomain) collect mostly spam these days; leave them off unless you have a real reason.

Five minutes here is the difference between invoices in inboxes and invoices in spam, and it is the most skipped step in small-business email.

Hygiene that prevents the classic disasters

• Empty the trash and spam folders on a schedule; they count against disk and inodes.
• Archive yearly: drag last year's mail into local folders in your mail app. The server stays light; history stays searchable.
• Never send bulk mail (newsletters, event blasts) through hosting email: hourly send limits will halt you mid-send and the shared IP's reputation pays. Newsletter services exist for this and their free tiers are generous.

The honest upgrade point

At that point, Google Workspace (or Zoho, which we also provide) attaches to the same domain with your website staying right where it is; mail routing simply points at the new provider. It is an upgrade, not a migration of your site.
