Offboarding Employees in Google Workspace: Removing Access Without Losing Company Data
Staff turnover is normal in every Nepali business, from retail to agencies to call centers. What's not normal, but happens constantly anyway, is a departing employee's Google Drive files, ongoing email threads, and calendar bookings simply disappearing with them because nobody had a proper offboarding process. Someone deletes the account on their last day to "clean up," and three weeks later finance is asking where the vendor invoices went. Google Workspace offboarding done correctly takes fifteen minutes and prevents all of this.
Step 1: Suspend the Account First, Never Delete Immediately
The single most important rule: suspend, don't delete, on day one. Suspending in the admin console instantly blocks login and access while preserving every email, file, and calendar entry exactly as it was. Deleting the account, by contrast, can permanently remove data unless you've already transferred it. There is almost never a reason to delete on the employee's actual last day โ suspend first, do the data transfer over the following days, delete only once you've confirmed everything important is moved.
Step 2: Transfer Google Drive Ownership
In the admin console, use the Drive data transfer tool (under Apps > Google Workspace > Drive and Docs > Transfer ownership) to move all files owned by the departing employee to their manager or a designated handover account. This is different from files merely shared with them โ you specifically need files they own, since ownership determines who can manage sharing and permissions going forward. Step 3: Set Up Email Handling for the Transition Period
- Forward incoming email to their manager or replacement for a set window (30-60 days is typical) so client and vendor emails aren't missed during handover.
- Set an auto-reply directing senders to the right new contact, especially useful for sales or client-facing roles.

A suspended Workspace account can still leave active sessions on a phone or laptop, and connected third-party apps (project management tools, accounting software signed in via "Sign in with Google") can retain access longer than expected. In the admin console, revoke all active sessions and check the security page for connected apps and app passwords tied to that account, and disconnect them explicitly. This matters more than most businesses realize: an ex-employee with a still-logged-in phone can technically still read email that arrives after their last day.
Step 5: Reassign Calendar and Recurring Meetings
Recurring meetings organized by the departing employee (client check-ins, internal standups) often silently vanish from other people's calendars once that account is suspended, because the organizer's account no longer exists to send updates. Reassign ownership of recurring events or have a manager recreate the important ones with themselves as organizer before you get to the deletion step.

Two client project folders that existed only in that employee's Drive were gone, along with the full email history for one client relationship.
