Zoho Mail on Mobile: Setting Up the App for Your Nepali Team

A lot of Nepali small business teams run mostly on phones, not desktops, especially staff who are out meeting clients, managing deliveries, or working from a shop floor rather than an office desk. Zoho Mail's mobile app is built for exactly that, but it's set up incorrectly often enough that a walkthrough is worth having on hand.

Installing and Logging In

The Zoho Mail app is free on both the Google Play Store and Apple App Store. Search "Zoho Mail," not just "Zoho" โ€” Zoho has separate apps for CRM, Books, and other products, and installing the wrong one is a common first mistake. Log in with the same email address and password used for webmail; if your business uses single sign-on or two-factor authentication, the app will prompt for that the same way the browser does.

Getting Notifications Actually Working

The most common complaint we hear isn't about the app failing, it's about staff not realizing mail arrived because notifications were silently disabled by the phone's battery optimization settings. On Android specifically, go into the phone's battery settings and exclude Zoho Mail from any "battery saver" or "sleep unused apps" restriction, otherwise Android can stop the app from checking mail in the background to save power. On iPhone, confirm Background App Refresh is enabled specifically for Zoho Mail under Settings.

Setting Up Multiple Accounts

Staff who need to monitor more than one mailbox, a shared sales@ or info@ address alongside their personal one, can add multiple accounts inside the same app and switch between them, rather than needing separate logins or a second device. This is a common setup for a small team where one or two people handle a shared inbox for customer inquiries.

Common Mobile Sync Issues and Fixes

  • Mail not updating in real time: usually a background refresh setting on the phone, not a Zoho problem. Check the battery optimization step above first before assuming something is broken server-side.
  • Attachments failing to send on mobile data: Zoho's app compresses some attachments automatically over cellular; if a large file consistently fails, try over WiFi or split into a smaller attachment.
  • Old mail missing after reinstalling the app: nothing is lost, mail lives on Zoho's servers, not the phone; it just needs to resync, which can take a few minutes on first login after a fresh install.

Setting Expectations for a Field-Based Team

For businesses where staff are frequently away from a desk, delivery coordinators, sales reps, site supervisors, we generally recommend making the mobile app the primary way staff check mail, not an afterthought, and setting a clear expectation for how quickly customer emails should get a reply during business hours. The app supports that well once notifications are correctly configured; most of the "the app doesn't work" complaints we help resolve turn out to be a phone setting, not the app itself.

Help Getting Your Team Set Up

If you're rolling out Zoho Mail to a team of five, ten, or more, we can walk through mobile setup with your staff directly rather than leaving each person to figure it out individually, which is where notification issues tend to slip through unnoticed. WebsNP's Nepali support team is available on WhatsApp for exactly this. See our Zoho Mail plans if your business isn't set up yet.
