Manual Register vs Biometric Attendance: Real Costs

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

A manual register costs almost nothing to buy, and for a team of five who all sit in one room it may be all you need. As staff grow, branches multiply and shifts overlap, the register starts to cost money in ways that do not appear on any bill. This article compares paper with biometric attendance software on cost drivers and gives you a method to estimate your own payback, without inventing figures.

The hidden costs of a paper register

  • Counting time. Someone must tally days, late marks and half days at month end, often twice.
  • Proxy signing. Staff sign for absent colleagues. The cost is paid wages for work not done.
  • Disputes. Without objective timestamps every late mark can be argued.
  • Salary errors. Counting mistakes become overpayments or underpayments.
  • No real-time view. A manager learns about absence days later.
  • Storage and loss. Registers fade, tear or disappear when a clerk leaves.

What biometric attendance costs

A biometric setup has two parts, and both have cost drivers:

  1. Hardware. One or more terminals, a power backup, a network connection and mounting. Cost depends on the type of device, capacity and number of entrances or branches.
  2. Software. Employee setup, shift rules, reports, integration with payroll, hosting and support. Cost depends on employees, branches and customisation.

Prices change by model and supplier, so we do not list them here. We quote the software after a demo, and a device, when you need one, is quoted separately. Compare quotes on identical scope: same number of users, same reports, same support.

Estimating your own payback

Use your own numbers, gathered over one month:

  1. Hours spent each month collating the register and preparing the salary input
  2. Number of attendance disputes and the time each took
  3. An honest estimate of days paid but not worked. A quick audit comparing the register with what managers recall will often reveal several
  4. Overtime paid, and how much of it had no supporting record

Convert each into rupees using your own wage rates, add them, and compare the yearly total with the yearly cost of software, hardware and maintenance. For illustration only: if proxy signing affects a few people for a few days each month, the wasted wages in a year could exceed the cost of a modest system. That is an example, not a prediction, and your result may differ.

When paper is still fine

Keep a register if you have a handful of staff in one location, nobody works shifts, and trust and visibility are already high. Even then, have a manager countersign the register weekly and keep scans. Spend the money on other priorities.

Non-financial benefits

Fair treatment is a benefit you cannot put in a spreadsheet. Honest staff dislike carrying colleagues who sign for friends. A clear record protects a hardworking employee from false accusations. Managers spend less time policing and more time managing. Some companies also report that arriving on time improves once staff know the record is reliable.

Risks of biometric systems

Be honest about the downsides. Devices fail, templates fail to match, staff may feel watched, and the company must protect biometric data. Mitigate by choosing a suitable device, keeping a backup method for exceptions, telling staff what is collected and limiting access.

Attendance has most value when it feeds salary. Read about the payroll software that takes the monthly totals, and about our attendance management software that applies shifts and overtime rules.

Questions to ask before you buy

  • What is included in the quote: device, installation, software, training, first-year support?
  • What happens if the device fails during warranty and after it?
  • Can I use my existing device with your software?
  • Who owns the data and can I export it?
  • Are there per-user or per-branch charges that increase as I grow?

Write the answers down for each vendor and compare them side by side. Many quotes look different only because they include different things.

A phased approach

You do not have to switch every branch at once. Start with the largest site, where the savings are greatest, run it for two months, and use the results to decide on the rest. Keep the paper register as a backup for the first month only. A small pilot shows the real issues, such as lighting, network and staff acceptance, at a fraction of the risk of a full roll-out.
