How to Choose Club and Association Software in Nepal

A club or association should choose software that a volunteer secretary can learn in an afternoon, that tracks members and dues without fuss and that makes the annual meeting easier instead of harder. Choosing wrongly costs money and trust in the committee. This guide explains what to look for, what to avoid and which questions to ask before you commit.

Start by describing your club honestly

Before comparing anything, write a half-page description. How many members do you have and how fast does it change? Do you have several membership classes? How are dues collected: in person at a meeting, by bank deposit, by wallet or by cash with a volunteer? How often does the committee change? Do you run events, projects or a welfare fund? A youth club with eighty members and one annual fee needs something quite different from a professional association with thousands of members, branches and several fee classes.

The core features worth paying for

  • A clean member register that can be imported from a spreadsheet and exported again.
  • Membership categories with separate fee rules, matching your constitution.
  • Dues and receipts that track who owes what, record part payments and issue numbered receipts.
  • Reminders by SMS, WhatsApp or email.
  • Meetings and minutes with attendance and decisions.
  • Simple accounts with a cash book, bank book and funds.
  • Committee roles so each office bearer sees what they need.

Beyond these, look at whether the product can grow. A club that begins with a register and dues may later want events, ticketing, a welfare fund or a branch structure. Our club and association software is delivered in modules for this reason. If you are really running a paid membership business, such as a fitness or coaching centre, a membership management system may suit you better.

Red flags in a demo

  1. The demo uses a retail or hotel example and nothing about clubs.
  2. It cannot show a bill or receipt in Nepali.
  3. Dates appear only in English format, with no Bikram Sambat.
  4. Receipts can be deleted without trace.
  5. There is no way to export your data.
  6. The vendor quotes a price before asking what you do.
  7. Training is not included or has an unclear cost.

Think about the committee cycle

Clubs lose knowledge every time the committee changes. The software should help. Check how a new secretary gets access and how an outgoing officer loses it. Ask whether the system holds the history of office bearers by term. A committee that can click on a year and see who held each post, which decisions were made and what was spent has solved half of its handover problem.

Money handling: the question members ask

Members want to know their money is safe. Ask how the system records payments, how corrections work and who can see accounts. A good setup lets the treasurer issue receipts and record expenses, lets the president approve payments and lets the auditor view everything without changing anything. Ask for the edit history to be demonstrated, not described.

Also ask about integrations carefully. Many vendors mention eSewa, Khalti or Fonepay. Find out whether the product records payments made through them or truly connects to them, and whether this needs separate merchant approval. We describe what the software can be configured for, and any live connection depends on your own accounts and arrangement with the provider.

Compare total cost, not just the first number

Clubs often have thin budgets. Ask for the modules to be quoted separately so the committee can approve the essentials first and add features after a year of use.

Check your constitution before configuring

Your constitution defines who can be a member, how fees work, when the annual meeting is held and how the committee is elected. A vendor should ask for a copy and set up the system accordingly. Do not let software silently change your rules. If your rules are unclear or out of date, fix the constitution through the proper meeting first, then configure the system. Legal registration requirements are decided by the registering authority, so confirm them with that office.

Ask about growth and branches

A club of eighty may become a club of eight hundred, or open a second chapter in another city. Ask whether the system supports branches or groups, whether each chapter treasurer can see only their own members and whether central reports roll up automatically. It is much cheaper to choose a system that can grow than to migrate your records in three years, when the committee that chose it has moved on and nobody remembers how it was set up.

Run a short pilot

Before moving everything, load fifty members and run one fee cycle. See if the treasurer can issue receipts without confusion, whether reminders reach people and whether the dues report is accurate. A month of real use teaches more than any demo.
