Excel vs Software for Club Membership: What Changes?

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Excel and a WhatsApp group are a perfectly sensible start for a club. They are free, familiar and flexible. The question is when they stop being enough. This article compares the three common approaches for a club in Nepal, shows where the pain begins and explains what drives the cost of dedicated software, so your committee can decide with open eyes.

The usual starting setup

Most clubs run on three things: a spreadsheet of members with a column for each year's dues, a chat group for notices and reminders, and a notebook or second sheet for income and expenses. When the club is small, the treasurer knows everyone and remembers who owes what. The system works because of memory and goodwill, not because of structure.

Where it starts to hurt

  • Version confusion. Several people hold different copies and nobody knows which is current.
  • Silent edits. A number is changed and nobody can see who changed it or why.
  • Lost messages. Notices and payment confirmations vanish in a long chat.
  • No structure for categories. Life members, students and honorary members need different rules that formulas handle badly.
  • Handover pain. The treasurer's laptop has the only complete file.
  • Annual meeting scramble. The statements are rebuilt from memory just before the meeting.

None of these is fatal for a tiny club. For a club with hundreds of members, several fee classes and regular events, they cost real hours each month.

What drives the cost of software

We do not publish a price list; every club is different, and a number from the internet would mislead you. The main factors are the following.

  1. Members. More members mean more data to load and a bigger system to host.
  2. Modules. A register and receipts cost less than a system that also handles events, funds, branches and notices.
  3. Customisation. Membership classes, fee rules, receipt layout and reports built to your constitution.
  4. Data entry. Importing a clean spreadsheet is quick. Rebuilding years of paper records takes time.
  5. Training and support. One session for two officers, or repeat sessions after each election.
  6. Recurring items. Hosting, backups and messaging.

Ask for a written quote, with each of these separated. Then compare it not with zero but with what the current method costs the club.

The hidden costs of the free option

Excel is free in rupees but not in time. If the treasurer spends six hours a month chasing and reconciling, over a year that is several working days of unpaid volunteer time. If a handful of members lapse because no reminder reached them, that is lost income. If the annual statement has an error, the committee spends a meeting arguing about it. We cannot know your numbers, so do the sum yourself: estimate hours, lapsed members and disputes in the last year, and compare it with the quote.

When the free option is enough

A club with fewer than about a hundred members, one fee class, no events with budgets and a stable treasurer can run well on a disciplined spreadsheet. Improve it with a locked master copy, a dated backup each month and a short rule that every payment gets a receipt. Come back to the decision if you add a second fee class, a project fund or a new treasurer.

The WhatsApp group problem

A chat group is an excellent way to talk and a poor place to keep records. Payment promises, decisions and notices all disappear upward as new messages arrive. Many clubs find a workable split: keep the chat for conversation and send formal items, such as dues, receipts, minutes and notices, from the system, so each has a dated record that can be found later. Members still receive the message on the app they already use, but the club keeps a proper trail.

A sensible middle path

Move in stages. First, move the member register and dues into the system and keep sending messages from your usual chat group. Next, add receipts and reminders. Then bring in meetings, events and accounts. Each stage should deliver a visible benefit, such as a clean arrears list, before the next begins. Our club and association software can be introduced this way. If you need a lighter tool for payments only, see our accounting software.

Questions to take to your committee

  • How many hours does the treasurer spend per month, and is that sustainable?
  • What percentage of members are behind on dues?
  • Who holds the only copy of our records?
  • Could the next treasurer run the club from our files alone?
  • What would we want to know at the annual meeting that we cannot answer today?

If the answers worry you, a demo is a low-risk next step.
