How to Choose Document Management Software in Nepal
The best document management software is the one your staff will actually put files into. A powerful system that nobody uses is just another empty folder. This guide explains what to check when choosing a document management system for a Nepali office, from search to permissions to what happens to your paper.
Start with the documents, not the product
Make a list of the document types you handle. For a typical company this might be contracts, invoices, purchase orders, registration papers, staff files, letters and meeting minutes. For each, note who uses it, how often it is needed and how long you must keep it. This list tells you which fields to capture, who should have access and what to digitise first. A vendor who starts the conversation with features and not with your documents is selling a template.
Search is the whole point
People pay for a system because they want to find things quickly. Test this honestly in a demo:
- Search by party name, such as a supplier or a client.
- Search by date range, including Bikram Sambat dates if you work in BS.
- Search by reference number or document type.
- Search by a word inside the document, and check what kind of files that works for.
Searching text inside scanned images needs optical character recognition. It can work well on clean printed English and less reliably on Devanagari, handwriting or poor photocopies. A vendor should tell you this plainly and not promise that every scan becomes fully searchable.
Permissions and the audit trail
Offices contain papers that not everyone should see: salary records, legal files, tenders, board minutes. Check that you can restrict access by folder, role and document type, and that the system records who opened or downloaded a file. Ask whether an administrator can see what other users did. In many disputes the log is as valuable as the document.
Versions and approvals
If staff edit documents, version control stops the habit of saving "final", "final2" and "final-new". Ask how the system shows the current version and how you can recover an older one. For approvals, check whether a document can be routed through reviewers in order, whether comments are saved and whether pending items trigger reminders. A simple, clear approval chain is better than a complicated one nobody follows.
Storage, backup and speed
Scanned archives grow quickly. Ask where files are stored, how much space is included and how it can expand. Ask how often backups run and where the copies are kept. Also ask about speed on your actual internet connection and whether the system can work on a local network if the office connection is poor. If you will have several branches, check how they share the archive.
Fitting your paper reality
Most Nepali offices will keep paper for years, because some dealings still require signed and stamped originals. A good approach keeps the original in an organised cabinet and the scan in the system, linked by a file number or QR label. Be cautious of anyone who promises you can throw away all paper. Whether a digital copy is accepted is decided by the authority you deal with, not by the software, so check with your lawyer or the relevant office for important originals.
Support and training
Migration is where projects stall. Ask who helps you design the folder structure, who loads the first batch of files and who trains staff. Also ask what happens when a staff member changes a setting by mistake. Support on WhatsApp in your language and working hours is more useful than a long manual.
Comparing quotes fairly
| Question | Why it matters |
|---|---|
| How many users are included? | Per-user charges grow with your staff. |
| How much storage is included? | Scans take more space than most people expect. |
| Is migration help included? | Loading old files takes real time. |
| Are workflows and custom fields included? | Some vendors charge separately for configuration. |
| What are the backup arrangements? | Your archive is only as safe as its backups. |
| Can I export everything? | You should never be locked in. |
Run a test with your own messy files
Ask for a trial or a guided demo using ten of your real documents, including a poor photocopy, a Nepali letter and a long contract with annexes. Upload them, add the details and then search the way a colleague would, perhaps by a half-remembered supplier name. Watch how many steps each action takes. Then ask a non-technical staff member to try it without help. If your most careful clerk finds it confusing, adoption will fail no matter how many features it has.
Red flags
- The vendor promises that every document, in any language and quality, becomes fully searchable.
- There is no activity log or it cannot be exported.
- You cannot take your data out in a standard format.
- Permissions exist only at the level of the whole system.
- Nobody can explain how backups work.
Choose a vendor who is comfortable saying what the product cannot do. That honesty is a better predictor of a smooth project than a long feature list.
Plan the rollout, not just the purchase
Decide who owns the archive, which department goes first and what date new documents must start going into the system. A clear start date matters more than the perfect structure.
