Document Management System for Nepali Offices: Scan, Search, Approve

Move cabinets of paper and scattered computer folders into one searchable archive with permissions, approvals and a record of who opened what.

Every office has the same story: the one file you need is in a cabinet, on someone's desktop or in a WhatsApp chat from last year. Staff spend real hours looking for contracts, letters, citizenship copies, bills and approvals. A document management system puts them in one place, indexed so you can find them in seconds.

WebsNP sets up document management software around your office: folder structure, document types, who may view or edit, and how approvals travel. You scan or upload files, add a few details such as party name, date and type, and search later by any of them. Access rights and an activity log keep sensitive papers under control.

It suits companies, schools, NGOs, cooperatives, municipalities and law or accounting firms. Message WhatsApp +977 9846280400 for a demo. For incoming and outgoing letters specifically, see darta chalani software.

Problems it solves

The problem todayHow the software fixes it
Finding one file takes half an hourEvery document is indexed by type, party, date and reference, and the search box finds it by any of them.
Files exist in several versions and nobody knows the final oneVersion history keeps each revision, marks the current one and shows who changed it.
Anyone can open confidential papersAccess is set by role, folder and document type, and every view or download is logged.
Approvals travel on paper or in chat and get stuckA document can be routed to approvers in order, with status, comments and reminders for pending items.
Important expiry dates are missedLicences, contracts and insurance papers can carry expiry dates with advance reminders.
Paper is lost to damage, fire or monsoon dampnessScanned copies are stored in a backed-up archive, so the loss of the physical paper is less damaging. Backup arrangements are agreed with you.

Features and modules

Folder and category structure

Organise by department, year, project or case, with document types you define.

Upload and scan

Upload PDFs, images and Office files, or add scans from a scanner or phone camera.

Search and filters

Find by title, party, reference number, date range, type or tag. Text search inside documents depends on the file type.

Metadata and tags

Capture fields such as party name, amount, reference and BS or AD date for each document type.

Version control

Keep every revision, compare dates and restore an earlier version when needed.

Access control

Permissions by user, role and folder: view only, edit, download or approve.

Approval workflow

Route documents through reviewers and approvers with comments and status.

Expiry reminders

Alerts before contracts, licences and renewals lapse.

Audit trail

A log of who viewed, edited, downloaded or deleted each document and when.

Controlled sharing

Share a document with an outsider through a limited link, if your policy allows it.

Document QR labels

Print a QR label for physical files so a paper folder links back to its digital record.

Built for how Nepal works

Bikram Sambat dates

Documents can carry BS and AD dates, because letters, agreements and minutes in Nepal are usually dated in BS.

Nepali text and scanned papers

Titles and fields accept Nepali Unicode. Searching inside scanned images depends on OCR quality for Devanagari, which we discuss honestly in the demo.

Paper-heavy practice

Many dealings in Nepal still need stamped, signed paper. The system keeps scans and a link to where the original is kept, rather than pretending paper disappears.

Fiscal-year based filing

Folders and reports can follow the Nepali fiscal year starting in Shrawan, matching how accounts and audits are organised.

How we get you started

  1. Review your documents We look at what you keep, who needs it and which papers are urgent to digitise first.
  2. Design structure and permissions We agree folders, document types, fields and who can see or approve what.
  3. Set up and migrate We configure the system and help you load an initial batch of existing scans and files.
  4. Train the team Staff learn to upload, name, search and route documents on real examples.
  5. Go live and continue scanning You use the system daily, scan backlog in stages and review permissions after the first month.
Need it changed to fit you? Document types, fields, folder structure, approval chains, permissions and retention reminders are configured for your office. Scanners and storage hardware are separate and can be supplied on request. See custom software development.

Guides: Document Management Software

Frequently asked questions

Do we have to scan everything at once?

No. Most offices start with new documents and the most-used old ones, then scan the backlog in stages. We help you decide which papers matter most so you get value early.

Can we search inside scanned papers?

Search by title, party, date and tags works for all documents. Searching the text inside scans needs optical character recognition, which works well for printed English and varies for Nepali. We show what is realistic during the demo.

Is a scanned copy legally valid?

Legal acceptance of digital copies depends on the document and the authority concerned. Keep originals where required and check with a lawyer or the relevant office. The software helps you organise and find records; it does not give legal advice.

Can different staff see different folders?

Yes. Permissions are set by user and role, so accounts staff can open invoices while HR files stay restricted. An audit trail records each access.

What about backups?

Backups are part of the setup discussion. We agree where data is stored and how often copies are taken, so a failed computer does not take your archive with it.

Can we share documents with outsiders?

If your policy allows, a document can be shared through a limited link or sent by email from the system. Sharing is logged, and links can be set to expire.

Do we need a scanner?

A scanner speeds up bulk work, but phone photos and PDFs also work for small volumes. Scanners are separate hardware that we can supply on request if you need one.

How much does it cost?

Cost depends on the number of users, the volume of documents, storage and workflows. We give a clear quote after a demo and a short chat on WhatsApp.
