Driving Trainee Records, Test Dates and Documents

A driving centre often becomes the place trainees turn to for everything: when is my trial, what papers do I need, who do I call. You can be genuinely helpful by keeping tidy records and sending timely reminders. But the rules themselves belong to the Department of Transport Management, so your records should hold what you collected and what you told the trainee, not a copy of rules that may have changed.

Keep the rules at arm's length

Licence requirements, fees, exam formats and booking procedures are decided and updated by the Department of Transport Management and its offices. They can change by notice. Do not print old requirements on your wall as permanent facts, and do not let staff quote figures from memory. A better practice is to tell trainees: "Please check the current procedure with the Department," and to share the official source when you can. This protects both you and the trainee.

What your centre can safely record

  • The trainee's name, phone number, address and photo.
  • The course type you enrolled them in and the joining date.
  • Copies of papers the trainee has given you, with the date received.
  • A checklist of items you have asked the trainee to arrange themselves.
  • The trial or exam date as the trainee reports it or as shown on their paperwork.
  • Notes on each session and any advice you gave.

A document checklist that works

Create a checklist template per course type and keep it in your own words, for example "photograph received", "copy of identity document received", "medical or other paper requested by trainee". Update the list whenever the official requirements change, after confirming with the Department. Tick items off when you receive them. When a trainee asks what is pending, you can answer in seconds, and you avoid the situation where a trainee reaches an appointment missing something.

Test date tracking

Record the date in both Bikram Sambat and Gregorian form, since paperwork and phone calendars often differ. Add a reminder a few days before and another the day before. The message might say: "Your test is on the date shown in your paperwork. Please bring the documents listed by the Department and arrive early." The wording leaves the specifics to the official source while still being useful.

Linking test dates to practice

When a trainee reports a test date, check their practice record. If they have completed few sessions, offer additional practice slots before the date. This is a good business practice and a service trainees appreciate. In software, you can filter trainees whose test is within the next two weeks and see their attendance at a glance.

Privacy and handling documents

Copies of identity documents are sensitive. Store them securely, limit access to staff who need them and never share them in open group chats. If you keep paper files, lock the cabinet. If you use software, give the front desk only the access they need. Delete or return documents when you no longer need them, according to your own policy.

Communicate clearly and in writing

Whatever you tell a trainee about dates or documents, send it in a short message they can refer to later. That reduces arguments such as "you told me I did not need that". Make it a rule to include a line like "please confirm with the Department" on any message about official procedure.

Example reminder messages

Handling trainees who are anxious about the process

New trainees often arrive worried about the licence process, and they ask many questions. Staff who answer confidently from memory sometimes give outdated information. A better habit is a short printed or messaged note that says what your centre provides (practice sessions, vehicles, instructors, reminders) and what the Department provides (the official test, fees and procedure). That single page reduces repeated questions and sets the right expectation. Review it every few months and whenever you hear that the Department has announced a change.

Audit trail and corrections

People make mistakes when entering dates and phone numbers. A good record shows who changed what and when, so an incorrect test date can be traced and fixed rather than guessed at. Decide who is allowed to correct a record, and require a short reason for changes to fees or dates. This habit keeps your data trustworthy, which matters because reminders are only as good as the dates behind them.

Next step

If you want one record per trainee that holds the documents, checklist, dates and session notes, our driving school software is built for that. Message us on WhatsApp at +977 9846280400 for a demo. If you handle a lot of paperwork across the whole office, document management software is another useful tool.
