How to Choose Gym Management Software in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

The best gym management software in Nepal is the one your front desk will actually use at 6 am with a queue of members. Features matter, but fit matters more. Before you compare vendors, write down the five things that go wrong in your gym today. Late renewals, lost dues, argument over trainer sessions, attendance nobody checks and receipts that do not match the cash. Then judge every system against that list.

Start with your own packages

Every gym sells slightly differently. One offers monthly and yearly only. Another sells a three month package with a fixed number of personal training sessions, a cardio only plan, a morning batch for women and a student offer in the exam break. Ask the vendor to set up your real packages in the demo, not a sample. If they cannot show a package with a start date, an end date, a fee, a discount and a part payment, move on.

Also check how renewals calculate. When a member renews three days after expiry, do you start the new period from the old end date or from the day they paid? Different gyms choose differently, and the software should let you decide rather than force one rule.

Check how dues are tracked

Dues are where gyms leak money. Members pay half now and the rest next week. Some pay for the quarter in two instalments. A good system keeps a running balance against the member and can list every pending amount, oldest first. Ask these questions:

  • Can I record an advance payment and a part payment against the same package?
  • Is there a single screen listing all members with pending dues and how many days overdue?
  • Can a discount be recorded with a reason, so staff cannot quietly give them away?
  • Can a receipt be reprinted but not secretly edited?

Attendance: pick the method before you pick the software

Many owners buy a fingerprint device first and then discover the software does not talk to it. Decide how members will check in. Options are a swipe or tap card, a QR code on the phone or card, a fingerprint device, or a staff member typing the member number. Each has trade-offs. Cards can be shared between friends. Fingerprints are harder to share but fail with sweaty or worn fingers. QR is cheap but needs phones and light. Manual entry is slow in a rush.

Ask the vendor which devices the system is designed to work with, and ask for that in writing. Do not assume a brand works. WebsNP configures the check-in method to your gym and tells you honestly what is possible before you buy hardware.

Reminders in the way your members read them

A reminder that lands on WhatsApp gets read. One that sits in an email inbox does not. Look for editable message templates, the ability to send before expiry and after, and a log showing which message went to whom. Ask how sending is done, whether it relies on a sender account you own, and what happens if the provider changes its rules. Honest vendors explain limits instead of promising unlimited automatic messages.

Trainers, freezes and staff control

If you sell personal training, you need session counts per member and per trainer. Ask for a report that shows sessions sold, used and remaining. For freezes, check that the expiry date moves by the days held without anyone doing arithmetic. Finally, look at user roles. The front desk should not be able to delete a payment, and you as the owner should see an activity log.

Questions about the vendor

  1. Who answers when something breaks on a Friday evening, and in which language?
  2. Can I export all my data if I leave?
  3. Is the price a quote based on my gym, with every extra listed in writing?
  4. What happens to my data and reminders if the internet is down?
  5. Can I speak to a gym that has used it, rather than only read a brochure?

Be wary of any vendor who quotes a price before asking how many members and branches you have, or who promises integration with everything. Real software is configured for you.

Run a short trial before you commit

Ask for a trial week or a pilot with a small group of real members, not just a sales demo. Enter ten members, sell a package, take a part payment, freeze one account, renew another and mark a few days of attendance. Then ask the desk staff what felt slow. A tool that looks good on a projector but needs six clicks to renew a member will be abandoned within a month. Also have your most sceptical trainer try it. If they can find a member and log a session without help, the rest of the team will manage.

Think about growth

You may open a second branch, add a women-only floor or start selling supplements next year. Ask whether the system can grow with you without a rebuild. Branch-wise reports, optional counter sales and extra users should be part of the conversation now, even if you do not need them today. Moving a gym to a new system after three years of history is a painful job, so choose something you can live with for a long time.
