Ayurveda Clinic Billing Mistakes and Session Package Checklist
Billing problems in a small Ayurveda clinic are rarely dramatic. They are small, repeated leaks: a discount nobody recorded, a medicine given but not charged, a session package where nobody remembers how many sittings are left. Over a year, these add up and also cause friction with patients. This checklist covers common billing and session package mistakes and simple rules to avoid them. It is about record keeping and money, not about treatment.
Mistake 1: bills that mix everything into one number
A single total without lines invites questions. A patient who sees one round figure with no breakdown asks what it covers. Itemise the bill: consultation fee, each medicine with quantity and rate, and any treatment or session charge. Clear bills end most arguments before they start and make later checks easy.
Mistake 2: unrecorded discounts
Staff give discounts out of kindness or to retain a patient. That is fine as a decision, but it must be visible. Decide who may give a discount, up to what limit and with what reason. Record the reason on the bill, such as senior patient, staff relative or regular customer. Then at month end the owner can see how much was given and to whom.
Mistake 3: medicine issued without a matching bill
When the dispensary hands over an item before the bill is made, items slip through. Make it a rule that stock is issued from a bill or a saved prescription, so stock and money move together. If an urgent handover is needed, create the bill straight afterwards and note the reason.
Mistake 4: session packages with no limits
If you sell treatment sittings in packages, write down the terms: number of sessions, validity period, whether they can be shared with family, what happens to unused sessions and how refunds work. Then record each sitting with the date and the staff member who delivered it. Show the patient the remaining count at each visit. A package without terms leads to disputes at the end.
| Package term | Decide |
|---|---|
| Number of sessions | Fixed at sale |
| Validity | Start and end date in AD and BS |
| Sharing | Allowed or not |
| Unused sessions | Expire, extend or refund |
| Missed appointments | Counted or not |
Mistake 5: part payments with no tracking
Patients sometimes pay half now and half later. Record the balance against the patient and note the promised date. A pending list sorted by age shows who to remind. Without it, balances become forgotten gifts.
Mistake 6: VAT treated casually
If your business is registered, VAT must be shown correctly on bills and recorded in your books. The standard rate is 13%, but which services and goods it applies to in your case is for the IRD or your accountant to confirm. Set it once in the system rather than calculating by hand each time. Keep your bills numbered and never delete one. Cancel with a reason and issue a new bill instead.
Mistake 7: stock not reconciled
If the register says there are 20 bottles and the shelf has 15, somebody has to find out why. Count a few items every week, rotating through the shelves, and correct differences with a recorded reason. In a quarter you will have touched every item, and small errors will not become large ones.
The checklist
- Itemise every bill.
- Record every discount with a reason and an approver.
- Issue medicines only against a bill or saved prescription.
- Write package terms and log each session.
- Record part payments with a promised date.
- Number bills and cancel rather than delete.
- Count a few stock items every week.
- Review pending balances monthly.
How software supports these rules
WebsNP Ayurveda clinic software is designed to enforce these habits: itemised bills, discount reasons, stock issued from prescriptions, package balances, balances with dates, bill numbering and activity logs. We set the rules with you, because every clinic decides these things differently.
A short walkthrough with a generic example
Imagine, as an example only, a patient who comes for a consultation, receives a prescription of three preparations and buys a package of five therapy sittings, paying part now. A tidy process creates one bill with four lines: the consultation, the three items with quantities and the package. The discount, if any, is recorded with a reason. The balance is saved against the patient with a promised date. The dispensary issues the items from the saved prescription. The package shows five sessions sold and zero used. Next week, when the patient returns for the first sitting, staff log it, the count moves to four remaining and the patient is shown the balance. Nothing in this routine requires memory, and everything can be checked later by the owner.
Walk through your own version of this example with your staff. Wherever they hesitate or improvise, you have found a rule that needs writing down.
Close the day properly
A short closing routine catches most errors the same day, when memory is fresh. Compare cash in the drawer with the cash total from the system. Check digital payments against your bank or wallet statement. Review any cancelled bills and any discounts above the usual level. Write the difference, if any, in a closing note. Five minutes each evening is far cheaper than an afternoon of detective work at month end.
Your next step
Choose two mistakes from the list that you recognise and fix them this week, with or without software. Then message us on WhatsApp for a demo, and we will show how those rules look on screen. If your clinic has a salon-style treatment room, salon and spa software may have useful ideas for session packages.
