Bus Company Records and Festival Rush in Nepal
Nepali bus companies run on seasons. The weeks before Dashain and Tihar bring queues at bus parks, advance sales weeks early and fares that differ from normal days. This article is about the records behind that rush. It does not state fares, rules or permit requirements, which are set by the authorities and operator associations and change over time. Confirm them with the relevant offices.
Planning festival advance sales
Decide early when advance sales open for each route and how far ahead you will sell. Prepare a festival fare table, agreed within your company and any local association rules, and load it into your system before the first ticket. Confirm which seats you hold back for owners, staff and agents. Announce the opening date in advance so that customers do not queue at the wrong hour.
Handling very high demand
When demand is higher than seats, a wait list is better than informal promises. Record the name, phone and preferred date of each person on the list, and call in order if seats are released. Do not allow staff to promise a seat that does not exist on the map.
Passenger records and privacy
Every ticket collects a name and phone number. Use them for what the passenger would expect: sending a ticket, telling them about a departure change or confirming a refund. Do not share lists with outsiders or sell them for marketing. Limit which staff can export passenger lists. If a passenger asks you to remove their number after the trip, have a clear way of doing so.
Vehicle and route documents
Each bus has registration, tax, insurance and route or permit documents with renewal dates that vary by vehicle type and route. The authorities and insurers define what is required, so confirm with them. Record the dates you receive in the vehicle register, attach scanned copies and set reminders ahead of expiry. Before the festival, review every bus: documents, tyres, brakes, lights and the last service. A single breakdown on a popular departure damages your name more than a month of quiet days.
Staff duty and rest
Drivers and conductors work long hours at festival time. Keep a duty log showing who drove which trip and when they last rested. Fatigue is a safety matter and no software can fix it, but a roster that shows consecutive long trips helps the dispatcher notice a problem in time.
Books, VAT and agents
Your accounts follow the Bikram Sambat fiscal year starting in Shrawan. Whether VAT at 13% applies to passenger transport tickets, and how, depends on the nature of the service and your registration, so ask your accountant and the Inland Revenue Department rather than relying on a vendor. Your system should let your accountant set tax rules per fare type, keep ticket numbers in sequence and not allow deletion of issued tickets.
| Record | Good practice |
|---|---|
| Ticket number | Automatic and in sequence |
| Cancelled ticket | Marked cancelled with a reason, never deleted |
| Agent sales | Listed per agent with commission and balance |
| Cash and QR | Tagged by mode and reconciled daily |
| Trip expenses | Recorded per trip with receipts |
After the rush
Within two weeks of the festival, review: which routes filled first, which departures stayed empty, how many cancellations occurred, how much the agents sold and how much the extra trips cost. Use the findings to plan next year\'s fares, holds and staffing. Write the lessons down; otherwise the knowledge walks out with the manager.
Where the software fits
A bus ticketing system keeps the festival machinery under control: advance sales, wait lists, seat holds, counter closings and agent ledgers. Our bus ticketing software is designed to support those workflows, and we configure fare tables with your management. We do not provide fare or regulatory advice. For operators that also run parcels on the same routes, see courier and cargo software.
Next step
Take last Dashain\'s busiest route and ask: could we show every ticket sold, every cancellation and every agent balance within an hour? If not, message WebsNP on WhatsApp at +977 9846280400 and we will show you how a system prepares you before the next rush.
