How to Choose Car Rental Software for a Nepali Business

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

The best car rental software for a Nepali business is the one that prevents double bookings, remembers every driver and document date, and tells you which vehicle earns money. Anything beyond those jobs is a bonus. Many tools built abroad assume self-drive rental by credit card at an airport counter, which is very different from a Kathmandu operator sending a hiace with a driver to Pokhara for four days.

Start with how you actually rent

List the types of hire you offer. Some operators do only with-driver trips quoted per day or per route. Others do hourly city use, airport transfers, wedding cars, monthly contracts for offices or self-drive for foreigners. Each has a different pricing logic. Good software lets you define these rate types rather than force a single formula. During a demo, ask the vendor to set up your most complicated price, such as a per-day rate with a kilometre limit, a night-halt charge and extra waiting hours.

The features that really matter

  • Availability calendar: every vehicle by day, with bookings and maintenance blocks, and a warning on clashes.
  • Driver assignment: a driver is linked to each booking and cannot be in two places.
  • Trip log: start and end readings, extra hours and tolls, feeding the invoice.
  • Maintenance and documents: next-service reminders and expiry dates you control.
  • Customer records: licence and identity copies, deposits and history.
  • Billing: quote, advance, final invoice, receipt and a clear due list.
  • Profit per vehicle: income against fuel, repair and driver cost.

Features to be sceptical about

Be careful with promises of live GPS tracking, automatic fuel monitoring or direct government permit integration. These depend on third-party hardware, contracts or access that a small vendor may not control. Ask exactly what is included, what extra device is needed and who supports it. WebsNP's car rental software focuses on the records, calendar and billing that every operator needs, and we are open about what would require separate hardware or services.

Test with a messy scenario

ScenarioWhat you want to see
A customer extends a rental by two days when the vehicle is booked nextThe system flags the clash and shows alternatives
A driver calls in sick the night beforeAvailable drivers listed quickly for reassignment
A vehicle returns with scratchesCheck-in notes and photos attached, charge added to the invoice
A corporate client wants one monthly billTrips grouped into a single invoice with a trip list
A part payment by QR plus cashBoth recorded against one invoice

Think about people, not only features

Your drivers may have little patience for apps, and your office staff may be used to paper. Choose a system with a simple screen for booking and a way to print or share a trip sheet. If the driver only needs a message with pickup place, time and customer phone, the system should produce that without requiring drivers to log in.

Questions about ownership and support

Can you export your customers, vehicles and bookings if you leave? Who can see financial reports? What happens to your data if the vendor stops operating? How quickly does support answer, and in which language and channel? WhatsApp support from a local team is a real advantage during a busy wedding weekend when a booking will not save.

Reports an owner should be able to open

Ask to see the reports before you see the data screens. An owner usually wants five views: bookings by vehicle for the coming fortnight, income by vehicle and month, idle days per vehicle, unpaid invoices by customer and documents or services due soon. If a vendor can only export raw tables, you will be building these in Excel every month, which defeats the purpose of buying a system. Reports should also be filterable by Bikram Sambat month, since that is how your accountant thinks.

Check as well whether an owner who is travelling can open the calendar and approve a booking from a phone. In a family-run rental company the decision-maker is often not at the counter, and a system that only works on the office computer will be bypassed by a WhatsApp call.

Growth and extra branches

Many operators start with a handful of vehicles and add more every year. Ask how adding a vehicle, a driver or a branch works, and whether it changes the price. Also ask whether the same system can later handle vehicle sales, spare parts or workshop jobs if your business expands in that direction. You do not need those today, but you do not want to migrate again in two years.

Mistakes to avoid

Do not choose by price alone, as a cheap system without a driver calendar will be abandoned. Do not migrate all history on day one; start with vehicles, drivers and future bookings. Do not leave one person as the only trained user. Do not ignore the maintenance module, which often saves more than the booking calendar.

Next step

Write down the five hardest bookings you handled last month and ask each vendor to enter them. To see ours with your examples, message WebsNP on WhatsApp at +977 9846280400. If you also arrange tours for the people who rent your vehicles, our travel agency software pairs well with it.
