Travel Agency Management Software Built for Nepali Agents
Keep every passenger, ticket, package, supplier payment and agent commission in one system instead of a diary, a spreadsheet and three WhatsApp groups.
A Nepali travel agency lives on small details: a passport number typed wrongly, a ticket that was held but never issued, a customer who paid half in cash and half by QR. When these sit in a notebook and a phone gallery, money leaks quietly and nobody can say who owes what.
Travel agency software from WebsNP gives you one place for passengers, tickets, tour packages, supplier payables, customer receivables and staff or sub-agent commission. It is configured around how your counter really works, not around a foreign template.
It records tickets and bookings that you issue through your usual airline, portal or supplier channels. It does not claim to replace those systems; it keeps your own books and customer files tidy. See the trekking operator system if you also run treks.
Who Travel Agency Software is for
Air ticketing counters
Agents who sell domestic and international tickets daily and need to match every ticket to a passenger, a supplier cost and a payment.
Tour package sellers
Agencies that build packages to India, Thailand, Dubai or domestic destinations and collect advance, balance and supplier costs separately.
Hajj, umrah and pilgrimage organisers
Operators handling large groups with document checklists, instalments and room or seat allocation.
Corporate travel desks
Agencies serving offices, NGOs or schools that want monthly credit statements instead of paying ticket by ticket.
Multi-branch and sub-agent networks
Head offices that sell through branches or sub-agents and must track commission and settlements honestly.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Passenger details are scattered across chats, photos and notebooks | Each passenger gets one profile with passport, contact, past trips and documents, searchable in seconds. |
| Nobody knows which customers still owe money | Receivables by customer with ageing, partial payments and a reminder list for follow-up. |
| Supplier and airline payables are remembered, not recorded | Every ticket and package line carries its cost, so payables per supplier are always visible. |
| Commission and markup calculations are redone by hand | Rules for service charge, markup and agent share are set once and calculated on every sale. |
| Profit per ticket or per package is a guess | Selling price minus cost is shown per line, per staff member and per month. |
| Quotes and itineraries are retyped for each enquiry | Reusable package templates produce a clean quote or itinerary you can send on WhatsApp. |

Built for how Nepal works
NPR first, foreign currency noted
Fares and package costs are often quoted in dollars or Indian rupees. The system keeps the original amount and the NPR value you actually collected.
Bikram Sambat and AD together
Travel dates run in AD while your accounts and fiscal year follow Bikram Sambat starting in Shrawan. Both dates show side by side.
VAT treatment is configurable
Whether VAT applies to a line, a service charge or a package depends on your registration and the item. We configure the tax settings and your accountant confirms them.
Mixed payment habits
Cash, bank deposit, cheque and QR wallet payments are all recorded, so a half-and-half payment does not break the ledger.
WhatsApp-first customers
Most enquiries arrive on WhatsApp, so quotes, itineraries and payment reminders are formatted to paste straight into a chat.

Does this connect to airline systems or issue tickets?
No. You keep issuing tickets through your usual airline or portal channels. The software records each ticket, its passenger, cost, selling price and payments, so your own books stay complete and searchable.
Can I manage both tickets and tour packages?
Yes. Tickets, tour packages, group departures and visa or document services can sit in the same system with separate reports, so you can see which line of business actually makes profit.
Can sub-agents or branches use it?
Yes. Branches and sub-agents get their own logins and see only their own sales if you wish. Head office sees everything, with commission and settlements calculated from the rules you set.
How are customer dues tracked?
Every invoice has a due amount and every part payment is recorded against it. You get a daily due list and customer statements, which you can share on WhatsApp for polite follow-up.
Can it handle VAT invoices?
It can be configured to add 13% VAT on lines where it applies to your business. Your accountant should confirm the correct treatment for your registration, and we set up the system accordingly.
What does it cost?
Price depends on the number of users, branches and custom features. We share a quote after a short demo and a conversation about your counter, with no pressure to commit.
Can I move my old customer data in?
If your customers, passengers or balances are in Excel, we can usually import them. Handwritten records can be entered gradually, starting with open balances and upcoming travellers.
Will it work if my internet is slow?
The system is web based and needs a working connection, but it is light on data. We can discuss a backup connection plan for your office during setup.
