Vehicle Renewals and Invoicing for Rental Companies in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

A rental vehicle with an expired document is a vehicle you cannot safely send out. The rules, fees and renewal periods for vehicle tax, insurance, route permits and driver licences are set by the relevant authorities and insurers and may change, so this article does not state them. It explains how to organise the dates and records so renewals are never a surprise, and what to confirm with official offices.

The documents to track for each vehicle

For every vehicle in your register, keep a list of the documents that apply to it and an expiry or renewal date for each. Typical categories include the registration record, annual vehicle tax, insurance, pollution or fitness check where applicable, route or operating permits for tourist or commercial use, and any documents your corporate clients ask to see. Which ones you need depends on the type of vehicle and how it is used, so confirm with the Department of Transport Management or the relevant provincial office and your insurer.

  • Document type and number.
  • Issue date and expiry or renewal date.
  • Office or company that issued it.
  • A scanned copy attached to the vehicle record.
  • Who is responsible for renewing it.

Driver documents

For with-driver rentals, keep the driver's licence number, category and expiry, contact numbers, an emergency contact and any training or route experience. Check at hiring and again at each renewal that the licence category matches the vehicle they drive. Software cannot verify a licence; it can remind you when the date you entered is approaching.

Reminder timing

Item typeSuggested reminder habit
Items needing an office visit or queueStart several weeks before expiry
Insurance renewalCompare quotes before the last week
Driver licenceRemind driver and office together
Service due by distanceAlert at a margin before the limit

These intervals are your own working habits, not official periods. Choose margins that suit how long renewals take in your area, remembering that holidays such as Dashain can slow offices for days.

Invoices and VAT

Standard VAT in Nepal is 13%, but whether it applies to a given rental service, and how, depends on your registration and the nature of the supply. Your accountant should confirm your treatment. What you can control is the quality of your invoice: a unique sequential number, customer name, date in AD with the BS date alongside, description of the hire, quantity or days, rate, taxable amount, VAT line if applicable, total and payment status. Software that numbers invoices automatically and prevents deletion avoids many audit headaches.

Deposits and damage charges

A refundable security deposit is not income until you keep part of it. Record it as a liability and issue a separate receipt, then show the refund or deduction on the closing statement with the reason. If you deduct for damage, attach the check-in photos and workshop estimate. Customers accept deductions far more readily when they can see the evidence.

Corporate monthly billing

Offices and NGOs usually want a monthly statement listing each trip: date, route, vehicle, driver, distance and amount. They will check this against their own log, so accuracy matters. Agree beforehand how extra hours and holidays are charged, and how long they have to pay. A due list by customer, with ageing, shows quickly who is slow.

Cash, QR and bank

Drivers sometimes collect balances on the road. Record each collection with the driver's name and hand-over time, and reconcile with the office at the end of the trip. Payment modes such as cash, bank transfer and wallet or QR should each be tagged. The software can be configured to record them, but it does not claim any special integration with a particular payment provider.

Insurance claims and accident records

If a vehicle is involved in an accident, you will need the booking, the driver, the time, photographs, any police or insurer reference and the repair estimate in one place. Keep an incident section on the vehicle record where each event is logged with date and cost. Over time it shows which vehicles or routes cause most trouble, and gives you evidence when you discuss premiums or claims with your insurer. What a claim covers is between you and the insurer, so read the policy and ask them directly.

Keeping the workshop and the office aligned

Repairs are where rental profit disappears quietly. Record each workshop visit with the date, the work done, the parts, the cost and the number of days the vehicle was off the road. Compare estimates before agreeing, and keep invoices attached to the vehicle record. Ask your mechanic for the next service reading whenever the vehicle leaves, and enter it as a reminder, so the office and the workshop are never working from different memories.

How the software helps

The WebsNP car rental system stores documents with expiry dates, alerts you ahead, numbers invoices in sequence and ties every collection to a booking. If your business also repairs vehicles, look at our garage and workshop software.

Next step

Make a table today with each vehicle in a row and each document in a column, and enter the dates you know. Gaps are your risk. If you want to move this into a system with automatic reminders, message WebsNP on WhatsApp at +977 9846280400.
