Coaching and Tuition Centre Software ยท Guide
How to Choose Coaching Centre Software in Nepal
A coaching centre is not a small school. Students arrive in batches, join late, drop a subject, pay on their own schedule and expect results from every test. Software built for a school year and fixed classes often struggles with this. If you are choosing software for your tuition or entrance preparation centre, test it against the way your centre really runs, not against a brochure.
Start by mapping your own centre
Take a sheet and write down the following. How many batches do you run, and at what times? How many subjects does each batch cover? Do students take one subject or a bundle? How do you charge: monthly, per course, per subject or in instalments? Do students join through the year or only at the start of a batch? How do you pay teachers: fixed, hourly or by share of fees? How many people will use the system at the front desk, in the office and in the classroom?
These answers are your test script. A vendor who asks you the same questions is a good sign. One who jumps straight to features is not.
Batches are the heart of the system
In a coaching centre, the batch is the main unit, more than the class. Check that you can create a batch with a subject, level, teacher, room, days and time, a start date, an end date and a seat limit. Check that a student can be in several batches, move from one batch to another, and leave a batch without losing the history. Check what happens when a batch finishes and a new one begins with many of the same students.
Test fee flexibility
Fees are where centres differ most. Ask the vendor to set up your real fee rules in front of you.
- Monthly fee with a due date, and a course fee paid in instalments
- Mid-month joining with pro rata or next-month start
- Discount for early payment, sibling or scholarship, with a reason
- Advance payments for several months
- Registration or material fee charged once
- Refund or adjustment when a student leaves early
- Receipts with a number, date and balance
If any of these cannot be done, ask whether it is a setting, a customisation, or not possible.
Attendance that teachers will actually use
If attendance takes more than a minute per batch, teachers will skip it. Ask to see the screen on a phone and a laptop, and count the taps. Check that absence can trigger a message to the parent, and that the owner can see attendance by batch and student. Consider whether you want a simple tick list or a method with cards or biometric devices. If you want devices, ask for that integration as something to be configured, and ask what it adds to the quote.
Tests, marks and progress
Parents and students judge a centre by results. Check how marks are recorded for weekly tests and mock tests, whether negative marking can be handled where your exams use it, and how ranks and averages are shown. Ask for a sample progress report. If you teach for competitive or entrance exams, confirm the exam pattern and dates from the official body and design your test record to match.
Communication with parents
Most Nepali parents respond to a call or message sooner than to a notice on a wall. Ask how SMS or WhatsApp follow-up is set up, who pays for the messages, whether templates can be edited and whether messages can go to one parent or to a whole batch. Ask to see a message actually sent during the demo.
Money reports for the owner
As owner you need to know more than collection. Ask if the system can show batch-wise income, teacher payments, rent and other expenses so you can see which batches truly earn. Ask whether it handles VAT or other taxes if they apply to your centre, and confirm the treatment with your accountant. Ask how data is backed up and whether you can export everything.
Check how it copes with Nepali conditions
Ask what happens when the power goes out at the front desk in the middle of admissions, or when the internet is slow in the evening rush. Some systems run only online, some can work locally, and each approach has trade-offs in cost and safety. Ask also whether names can be entered in Nepali, whether Bikram Sambat dates appear on receipts and reports, and whether the interface is simple enough for a front desk assistant with little computer experience. A system that your least technical staff member can use is a better buy than a powerful one that only the owner understands.
Ask for a short trial or pilot
Instead of committing for a full year on the strength of a demo, ask whether you can run one batch through the system first. Enter the students, take attendance for two weeks, collect a few fees and record one test. You will learn more in those two weeks than in three demos. Ask the vendor what you can export at the end if you decide not to continue, and what support you receive during the pilot. A confident vendor will not mind this request.
Next step
Write down your batches and fee rules, then ask two or three vendors to set up one real batch in a demo. You can see how WebsNP handles this on our coaching and tuition centre software page. Computer and vocational institutes may prefer training institute software. Message us on WhatsApp with your number of students and batches for a written quote.
