How to Choose Computer Shop Software in Nepal
The right computer shop software tracks each serial number from supplier bill to customer bill, works out warranty dates for you and handles repairs and instalments in the same place. A generic billing app that only prints invoices will leave you with a notebook beside the computer, which is the problem you wanted to remove.
This guide lists what to check when you compare options, the mistakes dealers make when choosing, and the questions to ask before you commit.
Start with what your shop really sells
Write down the three kinds of sale you make. Most computer shops mix them:
- Serialised items such as laptops, desktops, monitors, printers and UPS units. Each has a number and usually a warranty.
- Bulk items such as cables, mouse, pen drives and toner, sold by quantity with no serial.
- Services such as repair, OS installation and annual maintenance for offices.
Software built only for bulk retail will handle the second group and fail the first. Software built for service desks will handle the third and ignore stock. You need one system covering all three, so test with examples of each during the demo.
The features that decide the purchase
Serial number tracking
This is the single most important feature. Ask the vendor to show you a unit received on a supplier bill, sold on a customer bill and then searched by serial. If serials are typed by hand at the sales counter every time, mistakes will return. A good system lets staff pick from serials that are actually in stock, so a sold unit cannot be sold twice.
Warranty register
The system should store warranty period against the product and calculate the end date. It should also let you search by customer name or phone. Ask whether you can note distributor warranty separately from shop warranty, since the two periods often differ.
Repair job cards
If you run a service counter, you need job numbers, fault notes, technician, status and charges. Check that a finished job can become a bill without retyping and that the customer can be told by message.
Instalment and credit records
Offices and students often buy on dues. Look for a schedule, receipts and a pending list. Ask how a missed payment shows up. If the answer is that you scroll a ledger, it is not good enough once you have fifty plans.
VAT billing in Nepali formats
Bills should handle 13% VAT, PAN details and Bikram Sambat dates. Rules on invoice format can change, so ask the vendor how they update the format and confirm requirements with the Inland Revenue Department yourself.
Features that sound good but matter less
Dashboards with many charts, loyalty points and multi-currency options impress in a demo but rarely change daily work for a computer dealer. Ask for them last. Spend your testing time on serials, warranty and repair, where mistakes cost money.
A quick comparison table
| Need | Generic billing app | Computer shop software |
|---|---|---|
| Serial on every bill | Usually a free text note | Picked from stock, searchable |
| Warranty end date | Manual | Calculated automatically |
| Repair jobs | Not included | Job card with status |
| Instalment plans | Ledger only | Schedule and pending list |
| PC build costing | Not included | Component-wise margin |
Mistakes dealers make when choosing
- Choosing on price alone. A cheap tool that cannot track serials costs more in disputed warranty claims.
- Skipping data import. Ask how your current stock and customer balances will move in. Re-entering thousands of items by hand delays go-live by weeks.
- Ignoring the counter staff. If your salesperson finds it slow, they will bypass it. Let them test.
- Not asking about backups. Your sales history is your warranty proof. Ask where data is stored and how it is backed up.
- Assuming it will fit without setup. Every shop has its own bill layout and warranty terms. Ask what configuration is included.
How to run a fair demo
Do not let the vendor drive with a prepared story. Bring your own cases and watch the clicks. A useful demo for a computer dealer has five parts:
- Receive three laptops and a box of mouse units on a supplier bill, entering serials for the laptops only.
- Sell one laptop to a walk-in customer and one on credit to an office, with different warranty periods.
- Search the first laptop by serial and by customer phone number, and read out the warranty end date.
- Open a repair job for a device you did not sell, finish it and bill it.
- Print the day's sales, stock and customer dues.
Time each step. If a simple sale takes a minute of clicking, a busy Saturday at the counter will be painful. Also ask the person who will use it daily, not only the owner, to try a sale. Their comfort decides whether the data stays complete.
Finally, ask for the quote in writing with the modules, users and support named. Compare two or three vendors on that sheet, not on a verbal figure.
Questions to ask the vendor
- Can I see a laptop traced from supplier bill to customer to warranty claim?
- How are serial numbers entered: scanned, typed or imported?
- What happens if the internet or power goes off at the counter?
- Who helps if the bill format must change?
- Can I export my data if I ever leave?
- How is price decided for my branches and users?
Be wary of anyone who quotes a number before asking how many users, branches and customisations you need. Honest pricing follows a demo.
