How to Follow Up Facebook and Walk-in Student Leads
A student who messages your Facebook page on Sunday evening is deciding in real time who to trust. If your reply comes on Wednesday, someone else's reply came on Sunday. Fast, organised follow-up is the cheapest improvement most consultancies can make, and it needs a process more than technology. This article lays out that process, and shows where software makes it easier to keep.
Step 1: One list for every source
Leads arrive through at least five doors: Facebook Messenger, WhatsApp, phone calls, walk-ins and referrals. Decide that all five go into one list on the day they arrive. Record the name, phone number, preferred destination, last qualification, test status, source and the date and time of the first contact.
The source field is not decoration. After three months it will tell you which Facebook campaign, which school visit or which referral partner brought students who actually paid, rather than just those who asked questions.
Step 2: Assign an owner immediately
A lead without an owner is nobody's lead. Assign each new entry to a counsellor the same day, either by rotation or by destination expertise. If you use a rotation, skip anyone on leave. The owner's name should be visible to the manager, so unassigned leads are noticed.
Step 3: A first reply script
The first reply should be quick, human and specific. Keep a short template that staff can personalise:
- Greet the student by name.
- Thank them for the enquiry and name the destination they mentioned.
- Ask two easy questions, such as the last qualification and the preferred intake.
- Offer two time slots for a call or a visit.
Avoid long paragraphs of information in the first message. The goal is to start a conversation, not to deliver a brochure.
Step 4: A cadence for follow-up
Agree a simple schedule and stick to it. One reasonable example for a lead who has not committed:
- Same day: first reply.
- Day 2: a call to confirm interest and book counselling.
- Day 5: a message with useful information relevant to their stated destination.
- Day 10: a gentle check-in.
- Day 30: a final message that leaves the door open.
The exact days are yours to choose. What matters is that the schedule is written, that every lead follows it and that the owner can see which follow-ups are overdue. Stop contacting people who ask you to stop.
Step 5: Record every contact
After each call, write one or two lines: what was discussed, what the student is worried about and what the next step is. These notes are gold when another counsellor takes over, and when the student returns six months later. Without notes you restart every conversation from zero.
Step 6: Walk-ins need a different approach
Someone who walks in has already invested time. Capture their details at the front desk before they sit with a counsellor, so even if the counsellor is busy you can follow up. If the counsellor is unavailable, book a specific counselling slot instead of saying "come again sometime."
Step 7: Review weekly
Every week, the manager should review three numbers: new leads, leads with no contact in the last seven days and leads moved to the next stage. A short meeting around that list is more effective than a long one about general targets. Talk about specific students, not abstractions.
Where software helps
| Need | How a system helps |
|---|---|
| One list for all sources | Quick-entry form and a website form feed the same pipeline |
| Fair assignment | Assign manually or by rule, reassign in a click |
| Fast first reply | Message templates ready for WhatsApp or SMS |
| Follow-up cadence | Next follow-up date on every lead and a daily task list |
| Weekly review | Overdue and no-contact reports by counsellor |
Messaging through WhatsApp or SMS depends on the provider you choose and their rules, including consent and cost. We configure what you decide to use and explain the limits before you commit.
Handling common situations
The student says "I will think about it." Ask what would help them decide: a family meeting, a cost breakdown, a conversation with a past student. Set a follow-up date that respects their timeline, and record the reason they gave.
The phone is switched off. Try again at a different time and send a short message. Record the attempts. After a few unsuccessful tries, move the lead to a dormant status rather than leaving it as active clutter.
The lead wants a destination you do not handle. Say so honestly and, if appropriate, suggest they look elsewhere. A clear answer earns more goodwill than a vague promise.
A parent calls instead of the student. Note the relationship in the file and confirm with the student whom you may speak to about their application and fees.
Measuring whether it works
After two months of the new routine, compare three things with the previous period: the share of leads contacted within a day, the share of leads that reached counselling and the number of leads with no recorded contact for over a week. You do not need a consultant for this. If the first two rise and the third falls, the routine is working, and the data will show you which counsellor or source to look at next.
Respect the student
Students and parents are making a big decision. Be honest about what your office does and avoid pressure. A follow-up process should help students decide with good information, not chase them endlessly. Good follow-up and good manners both build the referrals that bring your next intake.
