How to Choose Education Consultancy Software in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

The best education consultancy software for a Nepali office is the one your counsellors will actually open every morning. Features matter, but adoption matters more. A system that is clever but slow, or built for a generic sales team, will be abandoned within a month and you will be back to Messenger and Excel.

This guide explains what to look for, what to ask a vendor and where owners usually go wrong. It is written for the owner or manager of an office that sends students abroad and wants to stop losing track of files.

Start with your own pipeline, not the vendor's

Write down the stages a student passes through in your office today. A typical list is enquiry, first counselling, shortlist, documents collected, application submitted, offer received, further documentation, and departure. Your list may be shorter or longer. Software should adapt to this list. If a vendor insists you use their fixed stages, you will spend years translating between two vocabularies.

Also write down who does what. In many offices a front-desk person logs the lead, a counsellor handles the student, a documentation officer checks paperwork and an accountant collects fees. Each of these people needs a different view, and the owner needs to see all of them.

The features that matter most

  • Lead capture from real channels. Walk-ins, calls, Facebook messages and website forms should all end up in one list with the source recorded.
  • Counsellor assignment and reassignment. When a counsellor is on leave or leaves the company, you must be able to move their students without retyping anything.
  • Document checklists per country. Each destination asks for different paperwork. The system should let you define a checklist per country and mark each item received, pending or needs correction.
  • Fee instalments. Students often pay in parts. You need a plan, dates, receipts and dues in one place.
  • Follow-up reminders. A daily list of who to call, and an overdue list the owner can review.
  • Branch reports. If you have more than one office, each branch should see its own students while you see the whole.

Questions to ask the vendor

  1. Can you show my stage names and my countries in the demo, not only a sample?
  2. Can you import my existing Excel list and what will it look like afterwards?
  3. Who owns the data, and can I export everything in a normal format if I leave?
  4. What happens when the internet drops in my office?
  5. Can I limit what each staff member can see, especially fees and contact numbers?
  6. Who do I message when something breaks, and how quickly do you usually reply?
  7. What is included in the quote and what is charged separately, such as SMS credits, extra branches or custom reports?

Honest vendors give honest, specific answers. If answers are vague, treat that as information.

Common buying mistakes

Choosing by lowest price. A very cheap tool that does not fit your process costs more in staff time than a properly configured one. Compare what you will have after setup, not the headline price.

Buying a generic CRM and hoping it adapts. A general CRM can work, but you will need to build the document checklist and fee plan yourself. A consultancy-specific system starts closer to your needs. WebsNP offers both a consultancy management system and a general CRM, and we will tell you honestly which suits you.

Skipping staff training. The owner loves the demo, the counsellors never learn it. Insist on training and a short period of supervised use.

Not deciding who enters data. If nobody is responsible for logging walk-ins on the day, the system will be incomplete from the start.

Privacy and handling of student documents

You hold passports, certificates and sometimes financial documents. Ask where files are stored, who can download them and whether access is logged. Restrict export rights to managers. Tell students what you collect and why. This is good practice and also protects your reputation.

Think about the internet you actually have

Offices in Kathmandu valley, Pokhara or Butwal usually have decent broadband, but connections still drop and power cuts still happen. Ask how the system behaves when the line goes down for ten minutes, whether data entered just before is safe and how quickly the office can work again. A cloud-based system with sensible saving habits is usually fine. A system that loses a half-typed student record is not.

Check the reporting before you sign

Many owners buy for the data entry screens and discover later that the reports are thin. Ask to see the exact reports you care about: leads by source, conversions by counsellor, students by stage, fee collected and fee due, and branch comparison. If you cannot find the answer to "which counsellor has the most stalled files" in two clicks, the report layer is weak.

Think about growth

Today you may have three counsellors. In two years you may have eight and a second branch. Ask whether adding users, branches and countries needs a new contract or simply a configuration change. Also ask how new document checklists are added, because every year brings a new destination request from students.

What software cannot do

No software can promise admission or visa results. Be wary of any vendor whose marketing implies it can. A system tracks and reminds. Your counsellors still do the counselling, and decisions remain with institutions and embassies.

A sensible way to decide

Shortlist two or three options. Give each the same real scenario: one Facebook lead, one walk-in, one student who pays in three instalments and one missing document. See who handles it most naturally. Then ask for a written quote and a trial period with your own data.

If you want to see this scenario run in a system built for Nepali consultancies, message WebsNP on WhatsApp at +977 9846280400 and ask for a demo using your own stages and countries.
