Fleet Software vs Excel: Knowing Your Vehicle Running Cost
Excel is a fair starting point for a small fleet. A sheet per vehicle with date, fuel, repair and income can work for a year or two. The trouble begins when the number of vehicles grows, when several people edit files, and when you need answers that cross sheets: which vehicle is profitable, which driver spends more, which renewals are near. This is the point where software begins to pay for itself.
What the true running cost includes
Running cost is more than diesel. A fair figure per vehicle includes fuel, driver wages and allowances, repairs and spare parts, tyres, service, insurance, tax and permit renewals, tolls and parking, interest on any loan and the time the vehicle sits idle. Many owners only count fuel and repairs, so a vehicle that looks profitable on paper may lose money once everything is counted.
Where Excel breaks down
- Version confusion: two copies of the file exist and nobody knows which is current.
- No reminders: Excel will not warn you that a certificate is expiring unless you build and maintain the rules.
- Weak controls: anyone can change an old figure without a trace.
- Hard to combine: fuel, driver advances and party dues sit in separate sheets that need manual matching.
- Dependent on one person: when the person who built the sheet leaves, nobody understands it.
Compare with your own numbers
Pick a recent month and answer these questions. How many hours did someone spend preparing vehicle-wise statements? How many renewals were late or rushed? Were there repair bills you could not match to a vehicle? Did a driver settlement take more than one attempt because the figures did not agree? Place a cost on each using your own wages and losses. Compare the total with a software quote.
| Question | Excel approach | Software approach |
|---|---|---|
| Which vehicle earned most? | Combine sheets by hand | One report by vehicle |
| Which documents expire soon? | Manual check of a list | Automatic dashboard alert |
| What does this driver owe? | Search diary and sheets | Driver account balance |
| Did anyone edit an old entry? | Usually unknown | Change history |
What software costs and why it varies
We do not publish prices because the cost depends on your situation. The main drivers are the number of vehicles and users, how many custom reports you want, whether you need party billing with VAT invoices, how much historical data needs importing and what support you expect. Vendors that quote one price for every fleet either undersell the work or overcharge small owners. Ask for a written scope and a quote after a demo.
The cost of waiting
Late discovery is expensive. A repair that should have been caught at a routine service becomes a breakdown on the highway. A permit that expired is noticed only when a trip is blocked. A driver advance that was never settled is remembered months later, when the driver has left. None of these needs a large system to prevent, but all of them need a record that is complete and visible to more than one person.
A small illustration
Take an example fleet with a truck, a tipper and a van. In Excel, each has its own sheet, and the owner adds them up on the first of the month. The truck shows large freight, the tipper shows steady small trips and the van shows rental income. The owner feels the truck is the star. When fuel, driver allowance, two tyre replacements and a long idle week are counted, the tipper may in fact give the best return per kilometre. This is an illustration only, but it shows why cost per vehicle matters more than the size of the freight figure.
Software does not create this insight by itself; it simply makes the combination effortless, so you do it every month instead of once a year.
Who should do the entry
Decide early who enters data and how quickly. The best results come when one trained person in the office enters trip, fuel and expense slips the same day, rather than everyone entering a little. Set a rule that entries older than two days need a reason. This keeps the picture current and makes reports trustworthy, whichever tool you use.
Software is not magic
If drivers do not hand over fuel slips and expense receipts, software will have no data to show. Fleet software rewards the habit of recording. It is worth asking whether your team can follow a simple routine: slips to the office at trip end, fuel entry the same day, service logged after every visit. If yes, the software pays back quickly. If not, fix the routine first, using a simple sheet if needed.
Next step
Calculate the true running cost of your two weakest vehicles using this month's records. If it takes more than an hour, that is your answer.
