Barcode Billing Software for a Supermarket in Nepal: Buying Guide
A supermarket counter runs on speed and accuracy. If a cashier takes a minute to find an item, the queue grows and customers leave. If the price on the screen differs from the price on the shelf, trust falls. Barcode billing software solves both, but only if it is chosen carefully. Here is what to check before you buy.
Start with the product list you already have
Count how many items you sell and how many already carry a manufacturer barcode. Most packaged goods do. Loose items, local brands and fresh products usually do not, and for these you will print your own labels. Ask the vendor how it handles both: scanning the printed code on a packet and generating your own code for a loose item. Also ask how it deals with items sold in different pack sizes, for example the same oil in one litre and five litre bottles, so that stock stays separate and the price is correct.
Billing speed and counter behaviour
Watch the billing screen in action. A good screen lets the cashier scan item after item without touching the mouse, change a quantity with a keystroke, void a line and finish the bill with a single payment key. Check these behaviours:
- Hold a bill when a customer goes to fetch one more item, and resume it later.
- Split payment between cash and QR.
- Reprint the last bill quickly.
- Search by name when a barcode will not scan.
- Show the stock balance on the bill screen so the cashier does not promise unavailable items.
Weighed items and fresh goods
Rice, sugar, lentils, vegetables and fruit are sold by weight. Ask how the software prices a weighed item. It can take the weight typed in, or read from a connected scale, and multiply it by the rate per kilogram. Some stores use scale labels with an embedded price. Ask the vendor which method they support and test it with your scale model before you commit.
Expiry and batches
For food, expiry dates matter more than almost any other feature. The system should let you record batch and expiry on each purchase, and show items nearing expiry on a report. Ask what happens when two batches of the same product are on the shelf. A sound approach is to sell the older batch first and warn when the shelf is filled with newer stock. If the vendor does not offer batch tracking, think carefully before choosing the product for a grocery.
VAT and bill format
Packaged goods and fresh produce may be treated differently for VAT. The software should let you mark each item as taxable or exempt according to your accountant's advice and print VAT at 13% only where it applies. Ask for the bill format to include your name, address, registration details and bill number as required. Confirm with your accountant what must appear on your bills; the software prints what you configure.
Hardware you will need
- A computer or all-in-one POS machine at each counter.
- A barcode scanner, preferably one that reads quickly from a small packet.
- A thermal receipt printer and optionally a label printer for shelf and loose-item tags.
- A cash drawer and a UPS to ride through short power cuts.
- A weighing scale if you sell loose goods.
Questions for any vendor
- Can I see billing, expiry and supplier screens on my own items?
- What happens to billing when the internet is down?
- How are backups done and where are they kept?
- Can I limit what a cashier is allowed to do, such as giving a discount?
- What support do I get, and how quickly can someone help in a busy hour?
- If I add another counter or branch, what changes?
Plan the switch properly
Most of the effort is in the item list. Clean it before importing: remove duplicates, fix units and set sensible reorder levels. Count the stock on the shelf and in the godown, and load it as opening stock. Run the old method for a few days alongside the new one, especially at busy times. If you do this, the first week is stressful but short.
Check how returns and price changes are handled
Customers bring items back, suppliers raise prices and offers begin and end. Ask the vendor to show a customer return against an old bill, a supplier return and a price change applied to one item across all counters. The point is not to see whether the feature exists but how many steps it takes and whether the stock and the cash totals still agree afterwards. A system that makes returns awkward encourages staff to bypass it, and then the numbers drift.
Data safety and ownership
Your item list, prices and sales history are valuable. Ask where the data is stored, who can see it and how a backup is made. Ask whether you can export the item list and the sales in a standard spreadsheet format at any time. If you ever change vendor, or want your accountant to look at the numbers, you should not need permission to get your own data.
Next step
Collect a sample of fifty of your items with prices and units and ask for a demo with them. Read about our grocery and supermarket software, or compare with our more general POS billing software. Prices depend on counters and hardware, so we quote after the demo.
