Grocery and Supermarket Software with Barcode Billing and Expiry Tracking
Scan items fast, watch expiry dates, keep supplier dues straight and reward regular customers, from a small kirana store to a busy supermarket.
A grocery store sells hundreds of small items at low margins, and a small leak shows up fast. A packet that expired on the shelf, a wrong price on a barcode, a supplier bill paid twice or an item that ran out on Saturday morning each cost a little. Together they decide whether the month ends in profit.
WebsNP grocery and supermarket software brings billing, stock, expiry dates, supplier payments and customer loyalty into one system. The cashier scans a barcode and the bill is ready. The owner sees what is selling, what is about to expire and what is owed to which supplier, without opening a notebook.
It suits a neighbourhood kirana, a departmental store or a multi-counter supermarket. We set it up around your products, units and counters, and you can see it working on your own item list in a demo. Read more on the product page or message us on WhatsApp.
Who Grocery and Supermarket Software is for
Kirana and neighbourhood stores
Small shops with a few hundred items that want quick billing, a list of what to reorder and a record of customers who buy on credit.
Departmental stores and supermarkets
Stores with several counters, thousands of items, staff turnover and a need for strong stock and price control.
Fruit, vegetable and fresh food sellers
Sellers with weighed items and short shelf life who need to record wastage and sell by kilogram or piece.
Mini-marts and convenience shops
Shops open long hours with several shifts who need accountability by cashier.
Owners with more than one outlet
Owners who want stock, sales and prices from every branch visible and consistent.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Cashiers type prices by memory and make mistakes | Every item has a barcode and a saved price. Scan and the correct price appears, with weighed items priced by quantity. |
| Items expire on the shelf before they are sold | Batches carry expiry dates. A report lists items expiring within a period you choose so you can discount or return them. |
| Stock runs out of fast-moving items | Minimum stock levels trigger a reorder list grouped by supplier, so you order before the shelf is empty. |
| Supplier payments are forgotten or paid twice | A supplier ledger records each purchase and payment, and shows what is due and when. |
| Prices change but shelf labels and the system do not match | Price changes are made once in the system and reflect at every counter. Shelf labels can be reprinted from the same list. |
| Credit customers owe money that nobody tracks | Each credit customer has a ledger with bills and payments, and a list of overdue balances for follow-up. |
| Regular customers get no reason to return | Loyalty points or member discounts are applied at billing, and offers can be sent to members by SMS or WhatsApp. |

Built for how Nepal works
VAT and mixed taxable items
A grocery basket mixes taxable and exempt goods. The software lets you mark each item as your accountant advises and shows VAT at 13% only where it applies. Always confirm item treatment with your accountant or the Inland Revenue Department.
Wholesaler credit and cash cycles
Most Nepali stores buy on short credit from distributors and sell for cash and QR. Supplier ledgers and due dates help you plan payments around your cash flow.
Nepali dates and festival demand
Dashain, Tihar and other festivals shift demand for sweets, oil, rice, fruits and gifts. Sales reports in Bikram Sambat dates help you stock the right items in time.
QR and wallet payments
Customers pay by cash, card, bank QR or wallet. The software records the payment method on each bill so your closing totals match the drawer, bank and wallet statements.
Power cuts and offline billing
Billing can run on a local computer so a power or internet cut does not stop sales. Data is backed up automatically when the connection returns.

Can it work with barcode scanners and weighing scales?
Yes. Standard USB barcode scanners work for billing and stock counting. Weighing scale connection depends on the model, and we check compatibility with your device before setup.
How does expiry tracking work?
When you receive stock you enter the batch and expiry date. The software sells the oldest batch first and shows a list of items nearing expiry so you can discount, move or return them in time.
Can I give credit to regular customers?
Yes. Each credit customer has a ledger with bills and payments, and the overdue report shows who to call. Credit limits can be set so staff cannot exceed them.
Can it handle items that are taxable and exempt together?
Yes. Each item can be marked as taxable or exempt, and the bill totals VAT at 13% only for taxable items. Confirm item treatment with your accountant.
Is there a loyalty feature?
Yes. Members earn points or receive discounts based on rules you set. Offers can be sent by SMS or WhatsApp to members who agreed to receive them.
Can I manage more than one branch?
Yes. Stock, prices and sales can be tracked for several outlets with transfers between them. The setup depends on your structure and is explained during the demo.
What if the power or internet goes?
It can run locally at each counter so billing continues. When internet returns, data is backed up and branches can synchronise if you use more than one.
How much does it cost?
It depends on the number of counters, branches, hardware and custom needs. We give a quote after a demo and a short discussion of your store.
