Helpdesk and Ticketing Software ยท Guide
How to Choose Helpdesk Software for a Nepali Business
The right helpdesk software for a Nepali company is the one your team will actually open every morning. Features matter less than fit: does it handle the way your customers contact you, the way your agents work and the way your manager wants to measure results? Use this guide to compare options without getting lost in feature lists.
Decide what problem you are solving
Before you look at any product, write down the real pain. Common answers are lost messages, duplicate replies, no visibility for the manager, slow responses and no history of what was promised to a customer. Rank them. If your biggest problem is that nobody knows who owns an issue, you need assignment and status. If it is slow responses, you need SLA timers and alerts. A system that does everything but does your top problem poorly is a bad buy.
Channels: where do your customers contact you?
Many international tools assume email is the main channel. In Nepal, WhatsApp, Viber, Facebook Messenger and phone calls often come first. Ask exactly how each channel reaches the helpdesk.
- Email: a support address that turns messages into tickets.
- Web form: a form on your website or app.
- WhatsApp: either manual logging of chats as tickets, or automatic handling through WhatsApp Business API, which needs access from a provider and has its own cost.
- Phone: agents create a ticket while talking to the customer.
Be wary of any vendor who says every channel is simply connected without asking about your accounts. Some integrations depend on third-party approval and charges.
Assignment and ownership
Check how tickets reach the right person. Can you assign by category? Can a team lead reassign when someone is on leave? Can two agents work on one ticket with private notes? The goal is that every ticket has exactly one owner at any moment, and that you can see all of them on one screen.
Response targets and escalation
A service level target is a time limit, such as first reply within a set number of working hours. The software should let you set targets by priority, show a countdown and flag tickets at risk. It should also pause or follow your working hours, so a ticket raised on Friday evening does not breach its target over a weekend. Nepal has a Saturday weekend and long festival breaks, so ask whether a holiday calendar can be set.
Reports your manager will use
Ask to see a sample report and check that it answers questions you really have:
- How many tickets did we get this month and by which category?
- How long did the first reply take on average?
- How many tickets are overdue right now?
- Which agent has the heaviest workload?
- Which customers raise the most issues?
Reports that cannot be filtered by date range or exported are of limited use in a monthly review.
Language and ease of use
Your agents may be more comfortable writing in Nepali, and some customers write in Romanised Nepali. The system should handle Unicode text properly and allow saved replies in both languages. Equally important is the interface: if agents need an hour of training for each task, they will drift back to personal chat.
Data, access and exit
Support tickets contain personal and business information. Ask who can see what, how roles work and how data is backed up. Also ask what happens if you leave: can you export your tickets and customers? A vendor who cannot answer clearly is a risk.
Total cost, not just the price tag
Compare the full cost over a year: setup, per-agent charges, hosting, WhatsApp or SMS charges, customisation and support. We do not publish prices because they depend on the agents, channels and customisation involved, and we give a quote after a demo.
Your shortlist questions
- Can I see my own categories and priorities in the demo?
- How does WhatsApp work in practice and what will it cost me separately?
- Can the response clock follow Nepali working days and holidays?
- Who helps my team on the first week?
- Can I export all data if I change provider?
Run a one-week pilot before you commit
The best test is your own tickets. Take twenty real issues from the past month, including a messy WhatsApp one, and enter them during the demo or a trial. Watch how long it takes an agent to create, assign and close each one. If the process feels slow with twenty tickets, it will feel unbearable with two hundred. Ask two agents, not only the manager, to try it. Agents decide whether the tool lives or dies, and their feedback on the number of clicks and the clarity of the screen is worth more than any feature list.
Common buying mistakes
- Buying for the manager's reports while ignoring the agent's daily screen.
- Paying for advanced automation you will not configure for a year.
- Assuming a WhatsApp integration is free and instant.
- Skipping staff training because the software looks simple.
- Forgetting to plan how existing open issues will move into the new system.
Avoid these and you will already be ahead of most first-time buyers. A modest system used well beats an ambitious one that nobody trusts.
