How to Manage Homestay Bookings Without Double Booking
The most common homestay problem is not a lack of guests. It is the same room promised to two groups because one booking sat in a WhatsApp chat and the other in a notebook. The cure is a single calendar and a fixed routine for every enquiry. This guide sets out that routine in a way a family-run home can follow without technical skills.
Why homestay bookings go wrong
Homestays are run by people with many jobs. The same person answers the phone, cooks dinner, meets the guests and washes the sheets. In such a setting, a booking is easily noted on whatever is nearby: a scrap of paper, a message to a family member, a screenshot. Later nobody can say which rooms are really free in the last week of October. Add several channels, such as agents, repeat guests and walk-ins, and the confusion multiplies.
Step 1: Keep one calendar as the only truth
Choose one place where all bookings live. It can be a wall chart or a software calendar, but it must be the place everyone checks before saying yes. In software, this is a calendar showing each room or cottage by date, and it blocks any attempt to sell a space that is already booked. The rule for the family is simple: if it is not in the calendar, it is not a booking.
Step 2: Use the same enquiry questions every time
Before you quote, ask the same set of questions. This avoids missing details that cause problems later.
- Arrival date and departure date.
- Number of adults and children, and ages if relevant.
- Nationality or whether they are travelling from within Nepal.
- Meals wanted: breakfast only, half board or full board.
- Extras: pickup, village walk, cooking class, cultural programme.
- Contact number that works on WhatsApp.
Saved as a booking form in software, these fields mean nobody forgets to ask about the pickup until the guest is already on the road.
Step 3: Quote from a saved price, not memory
Quoting from memory causes both lost income and awkward conversations. If you charge more in the main season and for festival dates, store those prices in one place. When the dates are entered, the system picks the right rate and shows the total. The guest receives the same figure whoever answers. Packages that include meals and activities should be named so that "Village Experience, two nights" always means the same inclusions.
Step 4: Take and record an advance
An advance is the difference between an intention and a booking. Decide a simple policy and tell the guest in writing: how much is needed, by when, and what happens if they cancel. When money arrives by bank transfer, QR or cash from an agent, write it against the booking straight away with the date and who received it. Many disputes later come down to "I paid someone, but they did not note it". A receipt record removes that argument.
Step 5: Confirm in writing on WhatsApp
Send a short confirmation after each booking: guest name, dates, room, package, total, advance received, balance due and a contact number. A guest who can scroll back to a clear message is less likely to misunderstand and more likely to arrive on the right day. A reminder two or three days before arrival also lowers no-shows and lets you confirm the pickup time. Software that prepares these messages from the booking saves retyping.
Step 6: Prepare for arrival
The day before, check the arrivals list: who is coming, how many, which rooms, any special meals or pickups. Share the list with whoever cleans, cooks and drives. A short checklist on the day avoids the classic scene of a guest arriving while the room is still being swept.
A simple table for the family
| Moment | Who does it | What to record |
|---|---|---|
| Enquiry | Whoever answers | Dates, people, meals, contact |
| Quote | Owner or trained family member | Package, rate, total |
| Advance | Person who receives it | Amount, date, method |
| Confirmation | Booking owner | Message sent on WhatsApp |
| Arrival | Host | ID details and check-in time |
| Departure | Host | Final bill and payment |
Handling cancellations and changes
People change plans: a landslide closes the road, a flight is cancelled or a group becomes smaller. Decide your policy in advance and apply it equally. Record changes on the booking itself so the calendar updates and the room can be sold again. Keep a note of any advance that is carried forward to a later date, so it is not forgotten.
Learn from every season
At the end of each season, spend an hour with your records. Which months were full, which room was always taken first, which agent sent the most guests, and which enquiries never turned into bookings? Those answers shape next year's rates and your promotion. A notebook can hold the answers only if someone has time to read it all; a report from the booking system gives them in minutes. Write three decisions from the review and put them on the wall for the next season.
When a calendar becomes software
A wall chart works for a few rooms. Once you have multiple cottages, agent bookings or seasonal rates, a simple software system helps because it checks availability, adds up prices and stores advances. Our homestay and resort software is built for that stage, and larger properties with a full front desk may prefer our hotel management software.
