Import Costing in Excel vs Software: Which Is Safer?

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Most small importers in Nepal begin with Excel, and it can work well for a long time. The trouble arrives when there are many shipments, several people editing, and costs spread over weeks. Spreadsheets fail quietly: a formula is overwritten, a version is lost, a rate is typed wrongly. This article compares the two approaches fairly. Software prices are quoted after a demo because they depend on your needs.

What spreadsheets do well

  • They are flexible. You can build any layout and change it in minutes.
  • They are cheap to start and everyone already knows the basics.
  • They suit a few shipments a year handled by one careful person.

If that describes you, a well-built spreadsheet may be enough, and you should not buy software merely because it exists.

Where spreadsheets break down

As the business grows the weaknesses show. Different people keep different copies. A formula that was correct for the last shipment is copied wrongly into the next one. There is no warning when an LC expiry approaches. Supplier balances in foreign currency and NPR drift apart because rates were typed by hand. The spreadsheet does not feed stock and sales, so the landed cost must be copied into the billing system, usually by hand, and often late.

What software adds

  • Locked formulas. The costing method is fixed, so every shipment is handled alike.
  • Linked records. A shipment links to its supplier ledger, bank details, stock receipt and sales.
  • Access control. Users have logins, and changes can be traced.
  • Reminders. Deadlines are visible and flagged in advance.
  • Reports. Profit by shipment, supplier or item without rebuilding the sheet.
  • Backup. Data is stored and backed up centrally.

Cost drivers for software

  1. Number of users and whether branches or partners need access.
  2. Which modules you need: shipment, LC records, stock, sales, accounting.
  3. Customisation of cost heads, forms and reports.
  4. Migration of existing data and opening balances.
  5. Training and support during the first full shipment cycle.

We cannot give a number without understanding these points. Be cautious of any vendor who quotes a price before asking about your business.

A simple way to judge

Ask yourself these questions honestly:

  1. Have I ever found an error in the costing sheet after pricing was fixed?
  2. Do I know my profit per shipment without a day of work?
  3. If the person who built the sheet left tomorrow, could someone else run it?
  4. Do my foreign supplier balances match their statements?

If you answered no to two or more, the cost of an error in a single large shipment can exceed the cost of software.

A gradual move

You do not have to switch everything at once. Many importers start with software for current shipments only, keep old files as archive, and bring opening balances for suppliers across at the start of the fiscal year. Run both in parallel for one shipment cycle to confirm the figures agree.

The risk nobody counts: key-person dependence

Many spreadsheets are built by one clever person and understood by nobody else. If that person is away or leaves, the business may not be able to cost a shipment at all. Software with a standard process and clear screens spreads the knowledge. You still need a trained person, but a replacement can learn the system in days instead of reverse engineering a workbook.

What to protect if you stay on spreadsheets

If you decide to keep your spreadsheet, improve it. Protect formula cells, keep one master copy in a shared and backed up location, add a separate sheet for exchange rates and record changes with a date and name. Review the formulas once a year with your accountant. These steps cost almost nothing and remove a good share of the risk, so they are worth doing even if you later move to software.

Timing the move

The best moment to change is not in the middle of a busy shipment season. Plan the switch just before or after a quiet period, so you have time to train and check. Starting with the opening of a new fiscal year in Shrawan also keeps the books clean, since opening balances are taken once.

Next step

Take your last shipment and re-enter it in a trial system. If the landed cost matches your sheet and takes less effort, you have a good sign. See our import and export software page or message us on WhatsApp for a demo. Larger businesses might also compare it with a full ERP system.
