ERP Software in Nepal: Accounts, Stock, Purchase and HR in One System

One connected system for finance, inventory, purchasing, sales and staff, so the owner stops reconciling five separate files at month end.

A company usually outgrows its tools in stages. First a billing program, then an Excel stock sheet, then a separate payroll file, then a purchase register kept by the store keeper. Each works alone, but none agree with each other, so month end means a week of matching numbers and arguing about which file is right.

An ERP system puts these jobs on one database. A purchase raises stock, a sale reduces it, both post to accounts, and payroll flows into the same ledgers. The owner reads one set of figures instead of asking four people for four versions.

WebsNP configures ERP software for mid-size Nepali companies, starting with the modules you really need and adding others later. We do not sell a giant package for everything on day one. After a demo and discussion of your workflow, you receive a written quotation.

Who ERP Software is for

Trading and distribution companies

Businesses with several warehouses, many suppliers and credit customers, where stock and receivables drift apart in separate files.

Small manufacturers

Units that buy raw materials, make products in batches and need costing, wastage and finished stock under control.

Multi-branch retail and service groups

Owners who want branch sales, stock transfers and accounts consolidated without calling each manager.

Companies with 20 to 200 staff

Organisations where payroll, leave, attendance and approvals are becoming too complex for spreadsheets.

Growing firms preparing for audit or loans

Businesses that need clean, traceable books and reports for the auditor, bank or investors.

Problems it solves

The problem todayHow the software fixes it
Stock in the store keeper's register never matches the accounts.Purchases, sales and transfers update stock and accounts from the same transaction, so there is only one number to question.
Purchase orders are approved verbally and nobody can say what was agreed.Purchase requests and orders follow an approval route with a record of who approved what and at what rate.
Receivables and payables are known only to the accountant.Customer and supplier ageing reports are available to authorised managers at any time.
Branch data arrives late, by phone or in Excel. All branches work in one system with branch-wise sales, stock and cash reports.
Payroll, leave and advances are calculated separately and posted by hand.HR and payroll feed the accounts through standard entries, reducing repeat typing and arithmetic errors.
The owner cannot see profit by product, branch or customer.Reports slice margin and cost by dimensions you define, from live transactions.
Audit time means a rush to find vouchers and bills.Every transaction has a voucher trail with user and date, and attachments can be stored with the entry.

Built for how Nepal works

13% VAT and PAN or VAT billing

Invoices, registers and summaries are designed around VAT-inclusive and VAT-exclusive trade. Compliance rules change, so confirm requirements with your accountant and the Inland Revenue Department.

Fiscal year from Shrawan

Nepali business years start in Shrawan. Books, closing and opening balances follow the fiscal year, with Bikram Sambat dates shown alongside the English date.

Credit trade and post-dated cheques

Much Nepali trade runs on credit and cheques. Receivable ageing and cheque tracking are core, not add-ons.

Load-shedding and connectivity realities

Hosting and backups are planned so that short office power cuts do not corrupt data, and branches with weak internet can be discussed during scoping.

Local reports and Nepali printing

Printed vouchers and invoices can carry Nepali text and your company details in the layout your auditor expects.

How we get you started

  1. Discovery workshop We map how a sale, a purchase and a month end currently work, and list which modules are truly needed in phase one.
  2. Demo and written quotation You see the proposed screens with sample data, then receive a quotation with phases, one-time and recurring items.
  3. Configuration and data migration Chart of accounts, items, parties, opening balances and users are set up and checked with your accountant.
  4. Parallel run and training Staff train on the new system and run it beside the old one for a short period to catch gaps before cut-over.
  5. Go live and phase two After the cut-over we support the first month-end closing, then add later modules such as production or HR.

Guides: ERP Software

Frequently asked questions

What is the difference between ERP and accounting software?

Accounting software records money. ERP also manages the activities that create the money entries, such as purchasing, stock, production and payroll. If your pain is only bookkeeping and VAT, accounting software may be enough. If stock, purchases and staff need to agree with the books, ERP fits better.

Is ERP too big for a small Nepali company?

Not necessarily, if it is introduced in phases. A company of twenty staff may begin with accounts, billing and stock, then add purchasing and HR later. The mistake is buying every module at once before the team has adopted the first few.

How long does an ERP project take?

It depends on scope, data quality and how fast your team can make decisions. A focused first phase can be much shorter than a full multi-branch rollout. We give a timeline in the written plan after the discovery discussion, not before.

Can the ERP produce VAT invoices and reports?

It can be configured with 13% VAT, invoice formats and sales and purchase registers designed to support your filing. We do not claim government approval of any software, so confirm current billing and reporting rules with the Inland Revenue Department or your accountant.

Can it handle several branches or warehouses?

Yes. Branch and warehouse structures are part of the setup, with transfers, branch-wise reports and permissions. Branches with weak internet are discussed during scoping so the design suits the connection they have.

Can we move our data from existing software or Excel?

Yes, usually items, parties and opening balances can be imported after cleaning. Historical transactions are a bigger decision. Many companies import opening balances only and keep the old data as an archive.

Who owns the data and the system?

Your business data belongs to you and can be exported. Ownership of code, hosting arrangements and support terms are written into the quotation so there are no surprises later. Ask for these terms before signing with any vendor.

What does it cost?

Cost depends on modules, users, branches, customisation, migration and hosting. We do not publish a price list because each project differs. Message us on WhatsApp to arrange a demo and receive a written quote.
