Jewellery Shop Software ยท Guide
How to Choose Jewellery Shop Software in Nepal
The right jewellery software is the one that gives the same total as your best salesperson with a calculator, only faster and every time. The wrong one looks fine in a demo and then cannot handle tola, old gold or your own way of charging. Here is how to choose before you pay anyone.
Start with how your shop actually sells
Write down, in plain words, how one typical bill is made at your counter. Which weight unit do you quote, and which do you print? Do you charge making per tola, per gram or as a percentage? Is wastage shown to the customer or built into the rate? Do you give a discount on making charge only? Many software packages are made for general retail and force you into one method. If your method does not fit, staff will keep using the notebook and the software becomes an expensive extra.
Take this written bill to every vendor and ask them to reproduce it live. A vendor who can do this on the screen in front of you understands your trade. One who says "we can customise later" for the basic sum has not.
Must-have features for a gold and silver shop
- Weights in your units. Tola, aana, lal and ratti entry, with gram conversion you can verify against your scale.
- Daily rate entry by purity, saved with each bill so past bills can be explained.
- Tagged stock. One record per ornament with gross, stone and net weight, purity and category.
- Making charge and wastage rules that can be changed per item or category.
- Old gold exchange that deducts correctly and credits the value on the new bill.
- Karigar issue and return if you make to order.
- Advance bookings with a pending list.
- VAT handling that your accountant has agreed to, at the 13% rate where it applies.
Check the stock side, not only the bill
Billing is the visible part. Stock is where the money hides. Ask how the software shows closing stock by weight at the end of the day. A good report lets you compare the weight the system expects with what is physically in the showcases and the safe, category by category. Ask what happens when an item is returned, melted, repaired or converted into a different design. If those cases are not handled, your stock will drift from reality within months.
Also ask whether silver and gold are tracked separately, and whether imitation or fixed-price items can be added without weight. Many shops carry both.
Questions about data, backup and power
Gold shop data is sensitive. Ask where the data is stored, who can see it and how backups are made. In Nepal, power cuts and weak internet are normal, so ask whether billing continues without internet and how data is synchronised afterwards. Ask what happens if the computer fails: can you restore everything on a new machine the same day? Ask also who owns the data, and whether you can export it in a standard format if you ever change vendor.
Common buying mistakes
- Choosing on price alone, then paying again for customisation of basic weight handling.
- Skipping staff training, so the counter staff go back to the register.
- Not testing old gold exchange with a real example from your own shop.
- Loading stock without weights, which makes later reports useless.
- Assuming the software supplies the daily rate. It should not guess your rate; the shop enters it.
What support should look like
You will have questions in the first month, usually in the evening or during a festival rush. Check how you can reach the vendor: WhatsApp, phone or a visit. Ask for a named person, not a generic ticket queue. Ask how updates are delivered and whether changes to your bill format are included or charged separately.
Run a live test before you sign
A demo on the vendor's sample data proves very little. Ask for a trial on your own items. Bring five real ornaments with their weights: a plain chain, a stone-set ring, a heavy necklace, a silver piece and one that has a hallmark. Ask the vendor to tag them, bill them at today's rate with your normal making charge, and then bill one with an old gold exchange. Check each total with your calculator. Watch how many clicks the cashier needs, because a counter with a queue of customers cannot afford a slow screen.
Then ask the awkward questions. What if the customer returns one item from a bill? What if the rate changes between booking and delivery of a wedding order? What if two counters sell the same tag by mistake? The answers show how carefully the product has been thought through, and whether your staff will trust it.
Think about the people who will use it
The best software for a jewellery shop is the one your counter staff will actually use. Look at the screen language, the size of the buttons and whether the labels match what your staff say aloud. If the owner is comfortable but the senior salesperson who has worked for twenty years is not, plan extra training time and let that person help choose. A tool that the most experienced person rejects will fail in practice, however good its features look on paper.
A sensible next step
Shortlist two vendors, give both the same written sample bill and the same old gold exchange example, and compare the answers. If you want to see how WebsNP handles it, look at the jewellery shop software page and send us your sample bill on WhatsApp. If you also run a separate retail counter, our POS billing software may be worth comparing for that side. Prices are given after a demo, because they depend on your counters and customisation.
