Plotting Business: Excel Sheets vs Dedicated Software
Almost every plotting company starts on Excel, and for good reason: it is free, flexible and everyone knows it. A project with thirty plots and ten buyers can be run on a sheet by one careful person. The trouble arrives with scale, with several staff and with money flowing over many months. This article compares the two approaches honestly so you can decide when to move.
What Excel does well
- Zero licence cost and no training.
- Easy to customise a column or a formula.
- Good for one-off calculations such as plot price from rate and area.
- Handy for quick reports a manager designs on the spot.
If your project is small and one person controls the file, keep using it with discipline. Lock the formulas, back up daily and keep a separate sheet per buyer instead of one giant file.
Where Excel starts to hurt a plotting business
Plotting is a business of long relationships and large sums, which makes its weaknesses costly.
- No single source of truth. Sales has one copy, accounts has another and the manager has a third. Differences show up in front of buyers.
- Weak access control. Anyone with the file can change a balance. There is no record of who did it.
- Formula errors. One broken formula can quietly shift every balance in a column.
- No automatic schedule. Instalment due dates must be typed or copied for each buyer, and mistakes multiply across hundreds of rows.
- Receipt control. Numbered receipts are in a paper book, so the sheet and the book can disagree.
- Reporting effort. Aging of arrears or collection by month needs rework each time.
The cost drivers of dedicated software
We do not print prices in articles because they depend on your project, and a figure out of context misleads. The factors that affect the quote are:
- Number of projects and approximate number of plots.
- Number of staff users and their access levels.
- How complex your payment plans and penalty rules are.
- Data import from existing records.
- Extras such as SMS reminders or a buyer portal.
- Hosting, backup and support.
Ask for setup and recurring costs separately and ask what is included in support.
A comparison table
| Need | Excel | Plotting software |
|---|---|---|
| Prevent double booking | Depends on discipline | Status per plot visible to all |
| Instalment schedule | Manual | Generated from plan |
| Who changed a balance | Unknown | Logged by user |
| Buyer statement | Build each time | One click |
| Overdue list | Filter and sort by hand | Always current |
| Multiple projects | Separate files | One system, project filter |
Calculating whether it pays
Do a simple exercise. Estimate how much money is outstanding at any time from instalments. Even a small improvement in collection speed, say a typical buyer paying a week sooner, releases cash that your project can use for roads, drainage or the next parcel. Then estimate the staff hours spent each month preparing statements, matching receipts and answering where-do-I-stand calls. Finally, think about the cost of one serious dispute or one double sale. If any of these is large compared with a software quote, the case is clear.
The people side of the switch
The hardest part is rarely the software. Accountants who have kept a trusted ledger for years may worry about being replaced. Sales staff who liked the freedom of their own notebooks may resist logging each hold. Explain early that the aim is fewer arguments and less retyping, not fewer jobs. Involve the most experienced accountant in designing the receipt format and the statement layout, because their knowledge of how buyers actually ask questions is exactly what the system needs. Choose one champion, give them time to learn and let them train others in short sessions rather than a single long day.
Plan for power cuts and slow internet at the site office. Ask the vendor how the system behaves during an outage and how quickly you can resume afterwards. Keep a paper receipt book as a fallback, with a rule that every paper receipt is entered the same day it is issued.
Moving over without drama
Do not switch in the middle of the busiest week. Clean the spreadsheet so each plot has a unique number, each buyer a single record and each payment a date and receipt number. Load that data, run the old and new systems in parallel for a month, and compare balances for a sample of buyers. Fix differences, then retire the sheet. Keep a read-only archive of the old files.
Questions to bring to a vendor demo
- Can you show a plot being held, expiring and returning to available without anyone touching it?
- Can the system generate a payment plan with unequal instalments and dates in Bikram Sambat?
- What happens when a buyer pays two instalments at once or pays late?
- Can I print a statement for a buyer who started three years ago, and does it match the receipts?
- Can I export everything to Excel if I ever leave?
- How are backups taken and who can restore them?
If a vendor answers all six clearly, you are talking to a serious team. If the answers are vague, keep looking.
What to do next
Take your current plot sheet to a demo and ask the vendor to load a few rows live. See our plotting software page for the modules, or consider ERP software if your company also runs construction and stores. Message WebsNP on +977 9846280400 to arrange a demo and quote.
