Laundry Pickup, Delivery and Dues: A Practical Checklist
Home pickup and delivery is one of the easiest ways for a laundry in Nepal to stand out, especially in busy areas where customers do not want to carry bags in traffic. It is also where shops lose track of orders, cash and time. This checklist covers the daily routine for riders, the control of cash and a polite way to handle dues.
Before you offer delivery
- Decide the areas you cover and the days and times for each.
- Decide whether delivery is free, charged or free above an order value.
- Decide whether a minimum order applies for pickup.
- Write a short, clear policy for missed visits and late payments.
- Choose how you will contact customers: call, SMS or WhatsApp.
The pickup routine
- Customer or reception books a pickup with address, landmark, phone number and a time window.
- The shop schedules it and assigns a rider.
- The rider calls before arriving, because addresses in Nepal often rely on landmarks and directions.
- At the door, the rider counts items with the customer and notes visible damage.
- The rider gives a pickup acknowledgement, on paper or a message, with the item count.
- At the shop, counter staff re-count, tag and create the order using the rider's notes.
The key moment is the second count at the shop. If it differs from the rider's count, resolve it that day by phone, not weeks later.
The delivery routine
- Mark orders ready and group them by area for the rider's route.
- Send a ready message to the customer with the expected delivery window.
- The rider checks the order count before leaving the shop.
- At the door, the customer checks the garments in front of the rider.
- The rider records delivered, any complaint and the cash collected.
- On return, the rider hands cash and the delivery list to the cashier, who reconciles them.
Control of cash
Cash collected at the door is the weakest point. Reduce risk with simple rules. Each delivery on the sheet shows the amount due. The rider records the amount received. The cashier checks the total of received amounts against the cash handed over, the same day. Differences are written down and discussed. If the customer pays by QR to the shop account, record it as paid so the rider does not also collect cash.
Ready messages that work
A short message does most of the work: "Hello, your laundry order 1452 is ready. We can deliver today between 4 and 6pm, or you may collect from the shop. Reply to confirm." Keep it polite and brief, and send it only to customers who have given the number for this purpose. The cost and delivery of SMS or WhatsApp messages depend on the service you use.
Handling dues politely
Unpaid orders are common for monthly accounts, office customers and regulars who say they will pay next time. A calm, regular routine works better than occasional pressure.
| When | Action |
|---|---|
| At delivery | Show the bill and balance clearly |
| A few days later | A friendly reminder with the amount and bill number |
| A week or more | A call, and agree a payment date |
| Monthly accounts | Send a statement at month end, in BS month terms |
| Long overdue | Pause new credit until the balance is cleared |
Record each promise to pay with the date, so you can follow up on what was actually agreed.
Uncollected clothes
Some garments are never collected. Decide a rule, for example a message at one week, a call at two weeks and a notice of storage charge or disposal policy after a stated longer period, printed on the receipt. Check whether your local rules or common practice require anything more. Having the policy written protects you if a customer returns months later.
Weekly review
- Orders ready but not delivered or collected.
- Dues by customer and age.
- Deliveries with complaints.
- Cash differences by rider.
- Late pickups and deliveries by area.
Where software helps
A system keeps the pickup list, rider assignments, ready status, messages and dues in one place, so the daily routine does not depend on one person's memory. See the Laundry and Dry Cleaning Software page for how it is set up. If you run delivery for other kinds of goods too, the transport and courier software page may be relevant.
Next step
Take today's deliveries and check whether the cash handed in matches the bills exactly. If it is hard to check, your process needs tightening. Message WebsNP on WhatsApp at +977 9846280400 to see rider lists and dues reports in a demo.
