Law Office Management Checklist and Common Mistakes

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

A well-run law office feels calm. Dates are known, files are findable, clients get timely replies and fees are collected. That calm comes from routines, not heroics. Below is a practical checklist for daily, weekly and monthly use, followed by the mistakes we see most often. It is about office management, not legal advice, and you should adapt it to your own practice and professional rules.

Every evening: prepare tomorrow

  • Print or open tomorrow's cause list by court and by lawyer
  • Confirm the physical files are ready and in the right bag
  • Check that required documents, copies and court fees are available
  • Confirm who attends which hearing, and a substitute if clashes exist
  • Note any client who should be informed of tomorrow's date

After every hearing: close the loop

  • Enter what happened in one or two sentences
  • Enter the next date, in BS, and its purpose
  • Attach any order or note received
  • Create a task if something must be drafted or filed
  • Send the client a short update if they expect one

If you do only one thing from this article, make it the next date entry. A date that is not entered is a date that is not reminded.

Every week: review what is slipping

  • List cases with no next date and decide a follow-up for each
  • List cases not updated in a set number of days
  • Review the tasks that are overdue
  • Reply to client calls and messages that are still waiting
  • Review fees due this week

Every month: look at the office

  • Pending cases by court and by lawyer, to balance workload
  • Fees invoiced, received and outstanding per client
  • Expenses paid on behalf of clients that have not been recovered
  • Disabled accounts of former staff and any access changes
  • Backup check, including a test restore at intervals
  • Closed matters moved to archive with file location noted

Common mistakes

1. Verbal fee agreements

A fee discussed in a hurry in the corridor becomes a disagreement months later. Write the amount, the instalments and what is included, and record it against the case. Make clear what court fees and travel costs are extra. Both client and lawyer are protected.

2. Leaving the next date to memory

Memory is excellent until the week when five cases move at once. Enter the date immediately. If the court has not given one, record that fact and set a follow-up task.

3. One person holds all knowledge

If only the clerk knows where files are, the office depends on him. Record file locations, contacts and notes in the system, so that a replacement can pick up quickly.

4. Sharing a single login

Shared logins remove accountability and make it impossible to disable one person safely. Give everyone their own.

5. No conflict check

Before taking a new matter, search the opposing party and related names among existing clients. A searchable party list makes this quick. The professional rules on conflict of interest are yours to follow.

6. Ignoring small fees

Small unbilled items such as copying, travel and registry charges add up. Record expenses as they occur, and bill them with the fee or at an agreed interval.

7. Poor communication with clients

Clients become anxious when they hear nothing. A routine update after every hearing, even a two line message, reduces calls and builds trust. Keep the messages short and avoid sensitive detail on WhatsApp.

Mistake 8: Treating every client the same

A corporate retainer client, a one-off property matter and a long family dispute need different rhythms of communication and billing. Note on the client record how and when they like updates, who the decision maker is and how they usually pay. This makes service feel personal without extra effort, and it helps new staff handle the client correctly from the first call.

A short walkthrough of an ordinary day

Consider a generic office with three advocates and a clerk. In the morning the clerk opens the cause list, collects files and goes to two courts. At each hearing he notes the result and next date on his phone. Back at the office he checks the entries, the associate drafts a reply that was ordered and attaches it to the case, and the accountant records a fee instalment. In the evening the clerk prints tomorrow's list. Nothing relies on one memory.

Making the routine easier with software

Each item in this checklist can be a screen in a case management system: the cause list, the cases without a date, overdue tasks, the fee balance. Our law firm software is designed around these views, and WebsNP configures them for your office. Chambers that also take on audits or tax files may look at our CA and audit firm software for a similar approach.
