Membership Management Software ยท Guide
How to Choose Membership Management Software in Nepal
The best membership management software for a Nepali club, association or institute is the one that matches your own rules for joining, paying, renewing and entering. Many tools are designed for a gym or a subscription app and quietly assume rules you do not have. Before you talk to a vendor, write your rules on one page.
Write your membership rules
Answer these questions in plain words. What types of membership exist and what does each cost? How long is each valid and when does the year start? Can people pay in parts? What happens if someone renews late? Is there a grace period? Do families or companies share a membership? Who may waive a fee? How do you check someone at the gate? The answers are your specification, and a vendor who cannot reproduce them in a demo should not get your business.
What a good system covers
- Member database: a clean record with photo, contact, number, type and history.
- Flexible types and fees: annual, life, student, family and corporate, each with separate rules.
- Renewal logic: from old expiry or from today, with grace and late handling.
- Cards and QR: printable cards and a quick way to check status at entry.
- Dues and receipts: part payments, numbered receipts and a pending list.
- Reminders: before expiry and after, with templates and an opt-out.
- Roles and logs: who may edit, waive or delete, and a record of changes.
- Reports: active, expired, renewals due, collections and entry logs.
Questions to ask a vendor
Ask them to set up one of your membership types live, renew a member who paid late and waive part of a fee with a recorded reason. Ask what the gate staff see when a scan fails or a card is lost. Ask how a lost card is blocked and replaced. Ask how a former member is archived without deleting their payment history. Finally ask who owns the data and how you export a full copy.
Mistakes to avoid
- Ignoring your own rules. If the software forces different renewal logic, you will fight it for years.
- Importing messy data. Duplicates and wrong dates carry into the new system. Clean the list first.
- No plan for the gate. A QR system fails if the scanner, light or signal at the gate has not been tested.
- Giving every volunteer full access. Limit who can edit fees and waive dues.
- Forgetting the transition. Decide the date the register stops and the system starts, and who checks the opening list.
Think about who maintains it
Organisations rely on volunteers and part-time staff. Choose a system that a new treasurer can learn in an afternoon, and ask for a short training plan. If the vendor offers continuing support for office-bearer changes, that is worth more than an extra feature.
Compare with a spreadsheet honestly
A small association with fifty members and a careful treasurer may manage with a well kept Excel sheet. Software pays off when the member count grows, when several people collect money, when cards or gates are involved or when the committee changes often. We say this plainly because a system that goes unused helps nobody.
Try a bad day in the demo
Ask the vendor to handle the awkward cases that fill a treasurer's week. A member pays half now and half next month. A life member whose card was lost twenty years ago comes back. A student moves from the student rate to the adult rate in the middle of a year. A company pays for three employees with one cheque. Two members share a phone number. How the system copes with these tells you whether it was built for real organisations or only for the neat examples in a sales deck.
Check reporting for the annual meeting
Before the annual general meeting, the committee needs the number of active members, new joiners, those who lapsed, total fees collected by type and dues still outstanding. Ask to see each report with sample data. If the answer is "we can export to Excel and you can work it out", you are buying a database, not a membership system. Good reports save the secretary a weekend each year.
Plan the transition from the old register
The first import decides the quality of everything after it. Allow time to clean names, merge duplicates, correct dates and agree which status each member truly holds. Have two people sign off the opening list, and keep the old register read-only for at least one cycle.
Your next step
Write your rules on one page and take them to every demo. Then see the WebsNP membership management software page and message us on WhatsApp for a demo. Organisations that also need meeting minutes and accounts can read about club and association software. We quote after the demo because cost depends on members, devices and customisation.
