Membership Renewals: Reminders and Common Mistakes

Updated 15 Oct 2026 ยท 7 min read ยท WebsNP team

Members rarely leave in anger. They lapse because a date passed, nobody reminded them and renewing felt like extra effort. A clear membership renewal routine fixes most of this. The checklist below covers the reminder schedule, the rules and the mistakes we see most often in Nepali clubs, associations and institutes.

Build a reminder schedule

Three messages are usually enough. Choose timings that suit your membership length.

  1. Early notice: a few weeks before expiry, a friendly note with the date, the fee and how to renew.
  2. Close to expiry: a short reminder in the final week, with the last date in BS.
  3. After expiry: a courteous message that the membership has lapsed, the grace period and how to restore it.

Send them by WhatsApp or SMS only to members who agreed to receive messages, include a way to stop and keep the tone polite. A sample, made up for illustration: "Namaste Ram, your club membership ends on Baisakh 30. You can renew at the front desk or reply to this message. Thank you."

Set clear renewal rules

  • Does the new year start from the old expiry date or from the payment date?
  • Is there a grace period, and does the member keep benefits in it?
  • Is a late fee charged, and who can waive it?
  • What happens after a long lapse: restart as a new member or restore the old number?

Write the answers in the constitution or committee minutes. Apply them to everyone in the same way. Special treatment for friends of the committee is the fastest way to lose the respect of other members.

Common mistakes

  1. Waiting for members to remember. They will not. Send reminders on a fixed schedule.
  2. Reminding the wrong people. Old numbers, resigned members and duplicates annoy and waste credit. Clean the list first.
  3. Only one channel. Some members never read SMS, others do not use WhatsApp. Keep both, and a phone call for important members.
  4. Complicated renewal. If renewing means visiting the office during working hours, many will not. Offer a desk, a bank deposit or a digital payment option with a clear reference.
  5. Cards not updated. A card showing an old expiry date confuses staff at the gate. Reprint, sticker or use QR so status comes from the live record.
  6. No record of why members left. A single question at cancellation tells you more than a year of guessing.
  7. Treating renewals as only a finance task. It is also a relationship task. A short personal message to long-standing members works wonders.

A generic walkthrough

This is an example, not a real client. A business association has members whose year ends in Ashadh. In Baisakh the system lists members expiring in the next sixty days. The secretary checks the list, removes two who resigned and approves the early message. On the day it goes out, the treasurer records payments from the bank and the desk as they arrive. In the last week, a second short message goes to those still unpaid. After expiry, the third message explains the grace period. At the annual meeting the committee has a clear count of renewed, late and lapsed members, and the voter list is frozen from the live record.

Respect the member

Do not publish lists of defaulters, do not message at night and honour every request to stop. A member who feels respected is more likely to return after a gap.
