Membership Software vs Excel and Registers: Cost
Most Nepali clubs and associations start with a register and graduate to Excel. Both work for a while. The question to ask is not whether membership software is cheaper than a spreadsheet, because it rarely is in cash terms, but whether the spreadsheet is costing you in ways you do not see. This article gives you a method to find out, without inventing numbers.
What the register or spreadsheet really costs
- Lapsed members no one notices: expiry dates sit in a column that nobody sorts until the annual meeting.
- Late and forgotten dues: follow-up depends on one volunteer, so recovery is irregular.
- Treasurer time: preparing lists, receipts and reports by hand takes evenings that volunteers rarely have.
- Disputes: arguments about whether a member paid, and for which year, damage goodwill.
- Version chaos: several copies of the sheet with different edits, each claiming to be current.
- Lost history: when an officer leaves, the file may leave too.
What drives the price of software
| Driver | Why it matters |
|---|---|
| Number of members | Affects data import effort and sometimes the plan size |
| Membership types and rules | More rules mean more configuration |
| Cards and gate devices | Printers, scanners and testing at the gate |
| Users and roles | Training and access set-up for each person |
| Chapters or branches | Separate reports and permissions |
| Customisation | Special reports, portal or integrations |
We give a written quote after a demo, because two organisations with the same member count can need very different work. Hardware, card stock and message credits are separate costs.
How to compare with your own numbers
Start with last year. Count the members who lapsed and later renewed, and estimate how many months of fees were delayed. Then count the members who never renewed and ask if a timely reminder might have kept even a few. Treat any result as an example, not a promise: if timely renewal brings in the same fee sooner and keeps some members, the gain compounds each year.
Next, count volunteer hours. If the treasurer spends six hours a month on lists and receipts, and software reduces that by half, decide what else the committee could do with the time. For organisations that pay staff, the saving is simple arithmetic.
Finally, consider trust. A member who can ask "when does my membership end?" and get a correct answer in seconds is more likely to renew, and a committee that can show clean accounts at the annual meeting has fewer arguments.
When Excel is enough
A group with a few dozen members, a single treasurer and no cards or gates can do well with a disciplined sheet and a monthly review. Software starts to pay off as the member count grows, as more people handle money, as gates and cards appear or as the committee changes regularly.
Run a fair trial
- Import a cleaned copy of your member list.
- Run the system alongside the old sheet for one renewal cycle or a month.
- Compare counts of active members, dues and collections weekly.
- Note each mismatch and its cause.
- Choose a cut-off date to retire the sheet.
What software will not fix
It will not make members pay, resolve a disagreement within the committee or replace a good treasurer. It will make the facts visible and consistent, which is a strong start.
Costs that appear only when something goes wrong
Consider the awkward events that cost organisations money and reputation: a voting dispute where the member list is challenged, a missing receipt book, a treasurer who leaves with the only copy of the sheet or an audit that asks for the fee history of a single member over five years. Each of these is an occasional event, but when it arrives the cost of reconstructing records by hand can be large. A system with logs and backups turns many of these into a ten-minute search.
Choose a size that fits
You do not need to buy everything at once. Many organisations start with member records, fees and reminders, then add cards and gate checks, and later add events or a portal. Ask the vendor for a phased plan, and be honest about what you can maintain with the volunteers you have.
Your next step
Do the lapsed dues exercise with last year's numbers. Then ask for a quote for the WebsNP membership management software on WhatsApp. If you also message members about renewals, read about bulk SMS and WhatsApp software and its consent practices.
