How to Choose Montessori and Daycare Software in Nepal

The right software for a montessori or daycare is the one that makes four daily jobs quicker and clearer: knowing who is in the building, checking who collects each child, recording fees and telling parents what happened. If a package does those four things simply, your staff will use it. If it buries them in menus, they will go back to notebooks.

Start by listing your daily routine

Write down what happens from the first arrival to the last pickup. Who greets the child? Where is attendance written? Who checks the person collecting? How does a teacher pass a message to a parent? Which fees are charged and when? The answers differ between a half-day pre-school with thirty children and a full-day daycare with mixed ages. Use your routine as the test during every demo.

What a good system should cover

  • Child profile: name, date of birth, class, parent contacts and notes parents have given you.
  • Authorised pickup list: named people with relation, phone number and ideally a photo.
  • Attendance: arrival and departure times and the name of the person who collected the child.
  • Daily update: a short, structured note that staff can enter in under a minute.
  • Fee ledger: monthly, one-off and extra charges, with payments and balance.
  • Notices: messages to a class, a branch or all parents.
  • Reports: enrolment, attendance and pending fees.

Be clear on what software should not claim

Software can store what a parent tells you about their child, such as a food allergy, and show it to staff when they open the child record. It cannot assess a child's health, development or safety, and it should not claim to. Be wary of products that promise more than record keeping and communication. Your care practices and your compliance with the rules set by local and education authorities remain your responsibility. Ask the authorities directly about registration and standards for your type of centre.

Test the pickup flow

Ask the vendor to show what a staff member sees when someone arrives to collect a child. Can they search by child name quickly? Does the screen show the authorised names and photos? Can they record who actually collected the child, and what happens if the person is not on the list? A good flow takes seconds and gives staff clear guidance about whom to call.

Test the parent communication

Check how daily updates reach parents. Is it a message through a channel you control, or does the parent have to install and learn another app? Many Nepali parents are happiest with WhatsApp or SMS, so confirm which channels the vendor can configure and any costs involved. Look for fixed templates for common messages such as holiday notices and fee reminders, so staff are not typing from scratch.

Check fee handling in detail

Montessori fees are rarely a single number. You may have admission, monthly tuition, transport, meals, activity charges and annual items, perhaps with sibling arrangements you decide. Ask whether the system can model your structure and show parents a clear bill. Ask how receipts look and whether they can carry your centre's name and PAN or VAT details if you are registered and need them. Check with your accountant for the correct format.

Data protection and access

You are holding photos, contact details and notes about young children. Ask who can see what. A teacher might need their own class only; the front desk might need fees but not notes; the owner needs everything. Ask how data is backed up and whether you can export it. Never accept a system where staff share one login.

Staff learning curve

Daycare staff are busy with children, not computers. If the screen needs many clicks, daily entries will be skipped. Ask for a trial where your own teachers try it on a phone or tablet during a normal week. Their reaction is more valuable than any feature list.

Questions for every vendor

  1. Can you show the pickup check and daily update flow live?
  2. How do parents receive information, and what does each channel cost?
  3. What fee structures can you model without custom work?
  4. Who owns the data, and can I export it?
  5. What training and support are included?
  6. How are changes requested after launch?

Think about growth

A centre with thirty children today may have sixty in two years, or a second branch. Ask how the system handles more classes, more staff and a second location, and what changes in the quote. It is better to learn this now than to migrate all your records later. Equally, do not pay today for features you will not use for years; a good provider lets you start small.

Involve a parent in the trial

Ask one or two friendly parents to review the messages and receipts you plan to send. They will quickly tell you whether a reminder sounds rude, whether a daily update is useful or whether a bill is confusing. Their view is at least as important as the staff view, because they are the people who must read what the system produces every month.

Next step

Take your list of daily routines to a demo of our montessori and daycare software. We configure it to your classes and fee heads before you decide. Message us on WhatsApp at +977 9846280400. If your centre is part of a larger school, school management software may be the better fit.
