How to Choose Pathology Lab Software in Nepal

Lab software should do three things well: keep every sample identified from collection to report, make result entry fast and error-resistant, and produce a clean report with the pathologist's sign-off. Everything else is secondary. Use this guide to judge any product you are shown and to prepare your own requirements.

Define your lab before you shop

Write down the facts that shape the choice.

  • How many patients and tests on a normal day and on a peak day?
  • Which departments: biochemistry, haematology, microbiology, serology, histopathology, others?
  • Do you receive samples from collection centres or clinics?
  • Which analysers do you have, and do you want results to flow into the software?
  • Do you offer home collection?
  • Do you pay referral commission?

A lab in a clinic corner has different needs from a diagnostic centre with three collection points. If your lab is part of a hospital, see how it fits with hospital management software.

Test catalogue and profiles

The catalogue is the heart of the system. Check that it supports single tests, profiles (a group reported together) and packages (a group sold at one price). Each test should carry a name, category, price, sample type, container, turnaround time and, where relevant, a short note on preparation that your lab writes. Ask how easy it is to add a new test and how price changes are handled without altering past bills.

Result entry and reference ranges

Ask to see the entry screen for a common profile. Fields should be arranged in the same order as your report. Units, ranges and flags should appear without retyping. Ranges often vary by age and sex, so check that the system can hold different ranges and pick the right one. The values come from your pathologist. The software should never offer interpretation or advice.

Look for a verification step: a technician enters, a senior verifies, the pathologist signs. This reduces mistakes and creates a record of who did what.

Sample identification

Unique sample numbers or barcode labels are the best defence against mix-ups. Ask whether the system prints labels at registration, how it handles multiple tubes per patient and what it shows when a sample is rejected or recollected. A good work list shows what is pending in each department.

Report layout and delivery

Show your current report to the vendor and ask for the same layout. Check letterhead, logo, QR or barcode on the report, pathologist signatures, page breaks for long profiles and a bilingual option if you want one. Ask how reports are delivered: printed, PDF, message to the patient or doctor, and what controls exist so a report goes to the right person.

Billing, credit and referrals

Labs bill walk-ins, but also credit accounts for clinics, discounts for staff and referral commission. Test these cases. Check that a refund or cancellation leaves a record. See if referral commission is calculated from the bill using rules you define, and whether you can generate a payout statement by period.

Questions to ask the vendor

  1. Can I see my own sample tests and report in a demo?
  2. Who maintains reference ranges, and who can edit them?
  3. Can the system connect to my analysers, and is that included in the quote?
  4. How does it work with intermittent internet or power?
  5. Can I export all my data?
  6. How are backups handled?
  7. What support do you give, in which language and hours?

Common mistakes

  • Choosing software with no verification step, which allows unreviewed reports.
  • Letting several people edit ranges without a log.
  • Skipping label printing and relying on handwriting.
  • Treating analyser integration as automatic, when it depends on the equipment.
  • Not testing a printed report on your own paper.

Think about the physical lab too

Software lives in a room with real constraints. Count how many screens you need: registration, sample reception, each bench, verification and the pathologist's desk. Check whether the bench has space for a computer and whether wiring or Wi-Fi reaches it. Ask how the system behaves during a power cut, whether a UPS keeps the server and the desk running long enough to save work, and how it recovers. If your analysers are old, ask whether they can export results at all. Many labs find that typed entry with a verification step is perfectly workable, and add instrument links later when the basics are stable.

Also check the label and report printers. A laser printer for reports and a thermal label printer are common choices. Confirm that your chosen software supports the printers you already own, so you do not buy hardware you do not need.

Who should be in the demo

Do not leave the decision to the owner alone. Bring the pathologist, the senior technician who will verify results, the person at the front desk and whoever handles accounts. Ask each to try their own part. The pathologist can judge whether the report looks right and whether the ranges can be set properly. The technician will tell you if result entry is quick. The desk will notice when registration needs too many clicks. Their buy-in is worth more than any discount.

Next step

Send the vendor your test list and one sample report and ask for a demo built on them. WebsNP will do this for our pathology lab software. Message +977 9846280400 on WhatsApp with your list and the equipment you use.
