Photo Studio Workflow: From Booking to Album Delivery
A good studio is judged on two things: the pictures and the experience around them. The experience is mostly about being clear, on time and organised. This guide lays out a photo studio workflow from the first enquiry to the album in the client's hands. You can follow it with a diary and a spreadsheet, though it is easier with software that holds each step in one record.
Step 1: Handle the enquiry
Most enquiries come by WhatsApp or phone. Capture the name, phone number, event type, date in BS and AD, venue and budget range. Reply with your package options and ask a few questions about the number of guests, hours of coverage and what the family wants as final products. Keep a status such as new, quoted, waiting or lost, so you know which enquiries need a follow-up call.
Step 2: Quote and confirm
Send a quotation listing what is included: photographers, videographers, hours, edited photos, albums, videos and any extras. Be clear about what is not included, such as travel outside the valley, extra hours and raw files. Ask for a booking advance to hold the date. Record the advance with a receipt. A date without an advance is only a hope.
Step 3: Prepare the shoot
A few days before, confirm the schedule with the family: ceremonies, timings, addresses and key relatives or shots they want. Assign the team and equipment. Check batteries, cards and backups. A short brief to each team member, sent by WhatsApp, removes confusion on the day. If travel is involved, note transport and stay costs against the job so you know its true profit.
Step 4: On the day
The lead photographer follows the brief and keeps a shot list tick sheet if the family gave one. Assistants handle lighting, backup shooting and drone coverage. At the end of the event, copy the cards to two places before anyone leaves the venue. Note the date and who copied. Record any extra hours or extras the family asked for so the balance can be corrected.
Step 5: Copy, cull and share
Within a day or two, copy the files into a labelled folder. Cull the obvious rejects and prepare a selection gallery or folder link for the family. Share it with a clear message about how many photos they can select for the album and by what date. Record the link and the date shared on the job.
Step 6: Editing and album design
When the selection arrives, assign editing to a named person with a deadline. Track the stages:
- Selection received
- Editing started and finished
- Album design drafted
- Design signed off by the client in writing
- Sent to print
- Album received from the lab
- Delivered and balance collected
Ask the client to confirm the album design by message before printing. A printed album cannot be corrected easily, so a recorded confirmation protects you.
Step 6b: Keep the lab on schedule
If albums are printed by an outside lab, treat the lab as part of your team. Send the design with clear specifications for size, number of pages, cover and finish, and ask for an expected return date in writing. Record the dispatch date and the promised date on the job. During the wedding season, labs can be backed up for weeks, so order early and check progress every few days. When the album returns, inspect every page before it goes to the client. A small colour or alignment fault found by you is a minor delay. Found by the family, it is a complaint.
Step 7: Delivery and final payment
Deliver the album and digital files together where possible and collect the remaining balance at that time. Record the date and who received it. Many studios ask the client to sign a short delivery slip. If you keep copies of the files for a set period, tell the client how long.
Keep the client informed between steps
Silence is what makes clients nervous. After the event, a short message to say the files are safely copied costs nothing and calms the family. A second message when editing begins and a third with a preview date show that the job is moving. Send these from templates so staff are not writing new text each time, and record the date on the job so you know who was told what.
When a delay is unavoidable, tell the client before they ask. A lab backlog in the wedding season or an editor falling ill is understandable when you say so early. The same news arriving as an excuse after the promised date feels very different. Offer a new date and keep it.
Step 8: Follow up
Step 8: Follow up
A few weeks later, send a thank-you message and ask whether the family would recommend you. Keep their details for anniversary or baby shoot offers. Repeat work is the cheapest business a studio gets.
Where jobs get stuck
| Stage | Common delay | Simple fix |
|---|---|---|
| Selection | Family is slow to choose | Send a reminder with a firm date |
| Editing | Editor has too many jobs | See the queue and rebalance |
| Printing | Lab queue in wedding season | Order early and track dispatch |
| Payment | Balance is left until the end | Agree stage payments at booking |
