Photo and Video Studio Management Software for Nepal
Manage bookings, packages, advance payments, photographers and every delivery step from raw files to printed album in one clear record.
A busy studio in Nepal handles a wedding on Friday, a pre-wedding shoot on Saturday, a baby shoot on Sunday and a counter full of passport photo customers every day. Each job has a date, a team, a package, an advance and a delivery promise, and most of it lives in a diary and a few WhatsApp chats. Photo studio software gives every job one record from first enquiry to final delivery.
WebsNP sets the system up around how studios here actually work: packages with a set number of edited photos, albums and videos, bookings for auspicious wedding dates, advances paid in parts, outdoor locations, drone and extra photographers, editing queues and album printing with outside labs. Each job shows what is booked, what is paid and what is still owed to the client.
You see next week's shoots, pending edits and unpaid balances on one screen. If your studio also runs events and decoration, read our event and wedding management software, or message us on WhatsApp for a demo built around your own packages.
Who Photo Studio Software is for
Wedding and event photographers
You take bookings months ahead, assign teams to dates and collect payment in stages before and after the event.
Video and cinematography studios
You track shoots, editing stages, reels, highlights and full videos for each client.
Portrait and passport photo studios
You have daily walk-in customers and quick counter billing alongside bigger booked shoots.
Studios with album and frame printing
You send designs to a lab or print in-house and need to follow each album until it reaches the client.
Freelance photographers who are growing
You started alone and now have assistants and editors, so a phone and a notebook no longer keep up.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Two clients are promised the same date or the same photographer | A booking calendar shows teams and equipment by date and warns about clashes before you accept. |
| Advances and balances are scattered across chats and notebooks | Every payment is posted against the job, so the balance due on delivery is always clear. |
| Clients keep asking where their photos or album are | Each job has a delivery stage such as shot, selection, editing, printing and delivered, visible to staff and shareable with the client. |
| Package details are forgotten and extra requests are given free | The package list shows what is included, and extras are added to the bill as separate lines. |
| Editors and freelancers are paid without a clear count of work done | Jobs are assigned with deadlines and recorded, so payment to editors and assistants follows a record. |
| Walk-in sales and big bookings are mixed in the same cash book | Counter billing and booked jobs are tracked separately and combined in the daily cash report. |

Wedding dates in Bikram Sambat
Bookings follow BS dates and the auspicious days families choose, so the calendar fills with the dates that really matter for your studio.
NPR and VAT-ready invoices
Amounts are in NPR. Where your studio is VAT registered, invoices can be set up with 13% VAT. Confirm your own duty with the IRD or your accountant.
Payments in stages
Families pay a booking advance, then more before the event and the rest at delivery. Receipts, QR payments and cash are recorded against each stage.
Travel and outdoor shoots
Pre-wedding shoots and destination events involve travel, stay and local helpers. Extra costs can be tracked per job so you can see real profit.
Busy seasons and long events

Can the software stop double bookings?
It shows existing bookings, the assigned team and equipment for each date, and warns you about overlaps when you enter a new booking. The decision to accept or decline still stays with you, based on your team size and travel time.
Can I track advance and balance for each job?
Yes. Every payment is recorded against the job with date and mode, and the balance is calculated automatically. Reports list all jobs with money still due, so delivery and payment can be matched.
Does it store photos and videos?
It is not designed as a storage drive for large raw files. It keeps links to your gallery or drive folders and notes about selections. Heavy file storage is best kept on drives or cloud storage that you choose.
Can clients see their delivery status?
Staff can see the stage of each job, and status messages can be sent to the client by WhatsApp or SMS. A client-facing page can be discussed as a customisation during the demo.
Can I manage freelancers and editors?
Yes. You can assign jobs to named editors or outside photographers with deadlines and record what each has completed, which helps when you pay them at month end.
Can I use it for passport photos at the counter?
Yes. Counter billing handles quick sales for passport photos, prints and frames alongside booked jobs, with separate reporting for each type of work.
Can invoices include VAT?
Invoices can be configured for 13% VAT where your studio is registered, with your PAN or VAT number on them. Confirm your own invoicing obligations with the IRD or your accountant before going live.
What does it cost?
The price depends on the number of users, branches and customisation, so we give a quote after a demo instead of a public fixed rate. Message us on WhatsApp to arrange the demo.
