How to Choose Printing Press Software in Nepal
The best printing press software is the one your counter staff will really use every day, and that depends on how well it matches your jobs. A system built for a general shop will not understand a job with a paper size, a number of colours and a binding finish. Before you compare vendors, decide what pain you want to remove.
Start with your own jobs, not the feature list
Write down the last ten jobs you printed. For each one note how it was quoted, what material it used, who worked on it, how it was delivered and when it was paid. The pattern shows you what a system must hold. A press that mainly prints bill books and letterheads needs serial numbering and repeat orders. A flex shop needs area pricing. A wedding card printer needs advances and sample matching.
If a vendor cannot explain how their system handles your three most common jobs, keep looking. A good demo uses your examples, not a generic shop.
The features that really matter
Most presses lose money in five places, so check each one in the demo.
- Estimates that become job orders. The figure you quoted should flow into the job and then the invoice without retyping.
- Job status. Staff should see which jobs are waiting for a proof, on the machine or ready to collect.
- Paper and material stock. Sheets, rolls, ink and plates should reduce as jobs use them.
- Customer ledger. Advances, part payments and outstanding balances must be clear per customer.
- Delivery record. A challan and a received-by note protect you in a dispute.
Nice extras such as dashboards matter less than these basics. A simple, accurate job card beats a beautiful chart built on guesses.
Local or cloud: pick for your situation
A local installation sits on the counter computer and works without the internet. It suits a single counter but ties you to one machine. A cloud system lets the owner check the day from a phone and allows several staff to log in, but it needs a working connection and a plan for load-shedding. Neither is always better. Ask the vendor to explain what happens when the power or internet fails, and how your data is backed up.
Mistakes press owners make when buying
- Buying on price alone. A cheap tool that cannot price flex by square foot will be abandoned in a month.
- Skipping staff training. The software works only if the counter and floor staff update it. Ask what training is included.
- Forgetting old data. You need customers and opening dues loaded, otherwise you run two systems for months.
- Ignoring reports. If you cannot list unpaid bills or pending jobs, the system is only a billing printer.
- Accepting vague promises. Get customisation requests and timelines in writing.
Questions to ask the vendor
Ask who will support you after go-live and how they respond, whether Nepali text is accepted on job cards, whether VAT at 13% and PAN billing are supported in your invoice format, and what happens to your data if you stop using the service. Ask for a demonstration on one of your own jobs rather than a ready-made sample. Ask also how a price is arrived at, because honest vendors quote after understanding users, modules and hosting rather than reading from a fixed list.
Think about the people who will use it
Software fails in presses for human reasons more often than technical ones. The counter person is usually quick with a calculator and slow with a new screen, the machine operator may not want to touch a keyboard and the senior designer may feel that a status field is extra work. Ask the vendor how they handle this. A good system keeps the counter screen short, lets the floor update a status with a single tap and makes the owner view separate from the data entry view.
Check also who can see what. A junior counter staff member does not need to see your margin on every job, and a helper should not be able to delete an invoice. Role based logins are a basic protection, and you should ask to see them in the demo rather than take it on trust.
Data, backups and what you own
Your customer list, job history and dues are the working memory of the press. Ask where the data is stored, how often a backup is taken and how you can export your own records if you ever change systems. A vendor who is vague here is a risk. You should be able to download customers, jobs and ledgers in a common format such as a spreadsheet.
Think too about the day the computer fails. If the counter machine crashes during Dashain week, how quickly can you be back on another device? A cloud setup with daily backups makes this simple, while a local setup needs a tested restore routine.
A sensible way to decide
Shortlist two options. Give both the same three real jobs. Score them on how many steps it took, whether staff understood it in ten minutes and whether the owner could see dues and pending work afterwards. The system that wins the test is usually the right one.
