QR Code Digital Menu Software ยท Guide
How to Choose QR Menu Software for a Restaurant in Nepal
A good QR menu is easy for guests to open and easier for staff to change. If either side is hard, the menu ends up unused and the stickers on the tables stay as decoration. Before you pay for any QR menu in Nepal, use the checks below to separate a useful tool from a pretty page.
Start with the guest
Scan the demo code with your own phone, on mobile data and not office Wi-Fi. Time how long the menu takes to appear. Scroll through the categories and see whether you can find a dish within a few seconds. Check that photos are not huge, that text is readable and that the language switch is easy to find. Ask an older relative to try it as well. If they cannot, many of your guests will not either.
Then test the staff side
The person who will update the menu should do it during the demo. Ask them to change a price, hide an item, add a special and mark a dish sold out. It should take seconds on a phone, with no help from the vendor. If every change needs a message to a developer, you have bought a printed menu with extra steps.
Core features to compare
- Edit anywhere. Phone and computer, with changes live straight away.
- Sold-out switch. One tap per item, reversible the next day.
- Languages. Nepali and English at least, with a clear switch.
- Timed sections. Breakfast, lunch and happy hour that appear on schedule.
- Table codes. A separate code per table, if you plan to take orders.
- Branding. Your logo, colours and name, not the vendor's advertising.
Do you need ordering or only a menu?
Many outlets do well with a view-only menu. Ordering adds benefits such as fewer misheard orders, but it also needs a way to receive and handle those orders, a screen at the counter or kitchen and a plan for guests who prefer to talk to a waiter. Be honest about your service style before you pay for ordering you will not use.
| Your outlet | Likely fit |
|---|---|
| Small cafe with a few tables | View-only menu with instant updates |
| Busy restaurant with waiters | View-only menu, optional ordering for peak hours |
| Self-service counter or food court | Ordering with order alerts |
| Hotel with room service | Ordering with room or table identifiers |
Questions to ask the vendor
- Who owns the menu data and the domain, and can I take them if I leave?
- Is there a recurring fee, and what happens to my QR codes if I stop paying?
- Will the QR code stay the same if you change the menu design later?
- How does the menu behave on a weak connection?
- Can it be connected to my billing software, and have you done it before?
The QR code issue matters more than people expect. A code printed on fifty table stickers must keep working for years. Ask for the code to point to an address you control, so a change of vendor does not mean reprinting everything.
Be careful with big promises
Be sceptical of claims about sales growth or guaranteed customer numbers. A menu is a tool for clarity and speed, not a marketing guarantee. Also check that any payment feature is described honestly, because connecting a wallet or gateway needs separate set-up and agreements.
What WebsNP does
We set up your QR code digital menu with your items, photos and languages, give you print-ready codes and train your staff. When you need orders to flow into billing, we look at restaurant POS software alongside it. Pricing is shared as a written quote after the demo.
Look at reliability and support
A menu that is down at the Friday dinner rush is worse than no menu. Ask where the menu is hosted, what happens if the service has a problem and how quickly the vendor answers. A vendor who replies on WhatsApp within a working day is far more useful than one with a ticket form nobody reads. Ask also for a simple written guide for your staff, so a change of manager does not mean a loss of know-how.
Do not forget the printed code
The QR sticker is the only physical part. Ask for print-ready files in high resolution, with space around the code, and check that you can reprint it yourself. A code that only the vendor can print makes you dependent for something as simple as a replacement sticker.
Next step: send us a photo of your current menu on WhatsApp and say how many tables you have. We will come back with a demo built from your own dishes.
