Manpower Agency Software in Nepal: A Buying Guide

Updated 14 Oct 2026 ยท 8 min read ยท WebsNP team

Good manpower agency software answers one question quickly: where is every candidate, what is pending and who is responsible? If a system cannot answer that in a few seconds, it is a database, not a management tool. This guide explains what to look for when choosing software for a foreign employment or recruitment agency in Nepal, what to ignore, and what to ask a vendor before you commit.

Why agencies outgrow registers and Excel

An agency with fifty active candidates can survive on a register and a clever clerk. With five hundred candidates across several employers, the system starts to leak. A medical report is received but not entered. A passport expires before the visa is stamped. A candidate's family calls three times because nobody can say where the file is. A sub-agent claims commission that does not match your records. These are not discipline problems; they are information problems.

The features that matter

A complete candidate file

Each candidate should have one record with personal details, passport data, photo, contact numbers, family contact, skills, source agent and every uploaded document. You should be able to search by name, passport number, phone number or district in seconds.

Configurable pipeline stages

Every agency works slightly differently. You need stages that you can name and reorder, such as registration, interview, selection, medical, document submission, visa, insurance, orientation, ticket and departure. Each stage should have an owner, date and notes, and the system should show how many candidates sit in each stage.

Demand and quota tracking

The demand is the commercial heart of the business. The record should show employer, country, trades, quantity, terms and how the numbers move: shortlisted, selected, processing, completed and balance. When an employer asks how many are ready, you should answer from the screen.

Document checklist and expiry reminders

For each candidate, a checklist of required documents with status: pending, received, submitted. The system should highlight expiring passports and time-limited papers. The reminder list for the week is the feature managers use most.

Accounts per candidate and per agent

Receipts, refunds and balances for each candidate, and commission for each sub-agent. Check that receipts can be printed and that every payment is tied to a person and a purpose.

What to ignore

  • Fancy public job portals when your business is direct sourcing and sub-agents
  • Complicated applicant scoring models
  • Features that duplicate an accounting package you already use well

Red flags in a demo

Red flagWhy it matters
Stages are fixed and cannot be renamedYour process will not fit
No document upload per candidateYou will still need folders and chat
No change historyYou cannot see who edited a record
Single login for everyoneNo control over who sees money or passports
Vendor promises government integration without detailAsk exactly what is supported
No export of your dataYou are locked in

Questions to ask the vendor

  1. Can you configure my stages and checklists during the demo?
  2. How are scanned documents stored and backed up?
  3. Can reception see status but not fees?
  4. How are sub-agent commissions calculated and shown?
  5. What reports can I get without paying for custom work?
  6. How do I export all my data, and in what format?

Rules and legality are your job

Foreign employment is regulated, and the licence conditions, procedures and forms are set by the authorities. Software can record that a step happened and remind you of a date, but it cannot tell you what the law requires. Be wary of any vendor who offers legal guidance through their product. Use the system to follow your own verified procedure.

Data protection

You hold passports, medical reports and bank details of hundreds of people. Ask who can access the system, whether data is encrypted in storage and transit, how backups work and what happens if a staff member leaves. Limit who can export or print files.

Think about your people, not only the screens

Ask who will use the system every day: a receptionist, two processing officers, an accountant and a manager. Each needs a short, role-specific training. A vendor who offers only a one-hour general demo will leave you with a tool that two people use and everyone else avoids. Ask for a plan for the first month, including who answers questions on WhatsApp and how fast.

Plan for growth

An agency that opens a second office, adds a training centre or starts domestic placement needs the software to follow. Ask whether branches can be added, whether the stage list can change as your business changes and whether you can add modules later without migrating again. It is cheaper to choose a flexible system now than to rebuild your data in two years.

Test it with a difficult file

During the demo, take your most awkward real case: a candidate who changed demand halfway, was refunded part of the fee and has a sub-agent commission pending. Ask the vendor to show how this looks in the system. Simple cases always work; the awkward one shows whether the design is sound.

Next step

List your stages and the documents required at each, and note the five questions your staff answer most often on the phone. Bring them to a demo. You can read about the system on the manpower agency software page. If your agency also manages its own staff, see HR management software. Price comes from a demo and quote.
