Manpower and Recruitment Agency Software for Nepal
Track every candidate from registration to departure, with demand letters, medical, visa, documents, agent payments and WhatsApp-ready status updates in one system.
A manpower agency runs on paperwork and follow-up. One candidate has a passport, a medical report, a demand letter, a visa stamp, an insurance paper, an orientation certificate and a flight, and each has its own date and person responsible. Multiply by hundreds of candidates and several employers, and the office runs on notebooks, WhatsApp chats and the memory of two or three staff.
WebsNP's manpower agency software gives every candidate one file with a clear stage, a checklist of documents and a history of what happened. It records demand letters and quotas, selection, medical, visa, flight and the money collected from and paid to candidates and sub-agents. Managers see what is stuck, who is responsible and which dates are about to expire.
This is a record-keeping and workflow tool. It does not give legal advice and it does not replace your own knowledge of the rules set by the authorities, which you must confirm yourself. Message us on WhatsApp for a demo built around your own process.

Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Candidate files are spread across registers, Excel, phone gallery and WhatsApp. | One digital file per candidate holds personal data, scanned documents, stage and notes. |
| Nobody knows which stage a candidate is at without asking around. | A pipeline view shows every candidate by stage, such as registered, selected, medical, visa and flight. |
| Passport, medical and visa dates are missed. | Expiry and due-date reminders list the files that need action this week. |
| Candidates and families call constantly for updates. | Status lookup and ready messages let staff answer in seconds, and updates can be shared on WhatsApp. |
| Money in and out is hard to reconcile per candidate. | Receipts, refunds, sub-agent commissions and expenses are posted against each candidate and demand. |
| Demands and quotas are tracked on loose sheets. | Each demand records employer, trade, number required, selected, processed and balance. |

Built for how Nepal works
Nepali dates and Nepali names
Dates can be recorded in Bikram Sambat and AD, and candidate names, districts and addresses can be stored in Nepali and English.
Built around your pipeline
Stages and checklists follow the steps your agency follows. The rules you must follow come from the authorities and your licence, and you confirm those yourself.
District and sub-agent sourcing
Track which district and which sub-agent each candidate came from, which matters in a business that recruits from villages across Nepal.
Phone-first communication
Families and candidates use WhatsApp, Viber and calls. The system keeps contact numbers and notes of what was said.
Handles scanned papers and weak internet
Documents are uploaded once and stored securely, with an installation option on an office server where connectivity is poor.

Does the software give legal advice about foreign employment?
No. It records candidates, documents, dates and payments and shows what is pending. The rules and procedures set by the authorities and your licence conditions are your responsibility, and you should confirm them directly with the relevant offices.
Can we track a demand letter from start to finish?
Yes. A demand record holds the employer, trade, quantity and terms, and shows how many candidates are shortlisted, selected, in processing and departed. The balance is visible at any time.
Is it connected to government systems?
It is a separate record-keeping system for your agency. It can store reference numbers and dates from official processes you complete elsewhere, but it does not file on your behalf. Any integration needs would be discussed in the demo.
Can we manage sub-agents and commissions?
Yes. Each candidate carries a source agent, and the commission rule you agree is calculated and tracked as due and paid, with a ledger per agent.
How are candidate documents protected?
Passports and medical reports are sensitive. Access is role based, uploads are tied to a candidate, and changes are logged. You choose who can see financial and document sections.
Can candidates see their status?
Staff can look up a candidate quickly and share a status message on WhatsApp. A candidate login is possible but optional, and it is decided with you during setup.
Can we import our old Excel records?
Yes. We map your columns to the candidate fields and import active files first. Older closed files can be added later in batches.
How much does it cost?
The price depends on users, branches, modules and customisation. We give a quote after a demo and a conversation about your pipeline.
