Savings Group Notebook vs Software: Is It Worth It?
Most savings groups start with one notebook and one pen, and for many groups that is perfectly right. This article is not an argument that every group needs software. It is a fair comparison to help your members decide, based on the size of the group, the number of loans and how much trust and time are at stake.
When a notebook is enough
A notebook works well when the group is small, say a dozen members, deposits are equal, loans are few and the treasurer is organised and trusted. The record is visible to everyone, nothing is hidden behind a screen and the cost is a few rupees. If your group is in this position, keep the notebook and improve your habits: write every entry at the meeting, read it aloud and have two people count the cash.
When trouble begins
Notebooks struggle as the group grows or the loans become more active. The usual signs are:
- Several loans at once, each with different dates and interest.
- Members asking for statements, and the treasurer spending nights adding columns.
- Interest calculated differently in different months.
- Year-end share-out that takes days and still produces doubts.
- Pages lost, damaged or unreadable after years of use.
- A treasurer who wants to stop but cannot hand over cleanly.
If three or more are true for your group, a simple software tool may save more than it costs.
Notebook, spreadsheet and software side by side
| Question | Notebook | Spreadsheet | Group software |
|---|---|---|---|
| Cost to start | Very low | Low | Quoted after demo |
| Interest on loans | By hand | Formulas, easy to break | Automatic from the rule |
| Member statement | Rewritten | Manual | One click |
| Year-end share-out | Long calculation | Possible but fragile | Built in with working shown |
| Handover | Hand over the book | Share a file | Backup and history |
| Skills needed | Basic | Moderate | Basic, with training |
What the real costs are
Time. The treasurer's time is a gift to the group, and it has limits. If she spends two evenings a month on calculations, that is a day of her life every quarter. Software can bring that down to an hour.
Trust. A single doubted entry can split a group. The cost of mistrust is far higher than the cost of a tool. Printed statements and a clear working for interest remove many causes of suspicion.
Errors. Even honest mistakes in interest or the share-out create unfairness. When a member realises she was given less than she should have received, she will not forget it.
Continuity. A group may last many years. If its history lives in a notebook that gets wet in the monsoon, the group's memory is fragile.
What drives the price of software
We do not publish a standard price, because needs vary widely. The main factors are:
- Number of groups: one group, a few groups or a whole programme.
- Number of members and the complexity of loans and interest.
- Whether you need Nepali printouts, SMS or WhatsApp reminders.
- Whether the tool runs on one laptop or online with backups.
- Importing your notebook data and training the treasurer.
- Ongoing support and updates.
A single group on one laptop is a very different quote from an NGO supervising dozens of groups. Ask for a written quote that shows each item and whether support is included.
Who pays?
Groups sometimes worry that they cannot afford software. Options include sharing the cost among members as a small addition to the monthly fine fund, asking a supporting NGO or ward programme to fund tools for several groups at once, or starting with a simple one-time set-up for one laptop. Whatever you choose, agree it openly in a meeting and record the decision in the minutes.
A hidden cost: dependence on one person
In many groups, the whole history sits in the treasurer's head as much as in her notebook. She knows why one member's page has a correction, why a loan was extended and who promised to pay after Dashain. When she is ill, moves away or steps down, that knowledge goes with her. A shared system with a note field on each loan and a backup spreads the knowledge across the group. This is not about distrust. It is about making the group stronger than any one volunteer, which is the point of a group in the first place.
How to decide fairly
Hold a short discussion at a meeting. Ask the treasurer how long the monthly work takes, ask members whether they trust the current record, count how many disputes arose last year and check how the share-out went. If the answers are positive, stay with the notebook. If they are not, request a demo and let members see the printed statement, since it often convinces doubters more than any explanation.
Your next step
Ask your treasurer to note the hours she spends on the group record next month. Then ask WebsNP for a demo of our savings group software on WhatsApp at +977 9846280400 and bring your notebook. If your group lends mainly to outsiders, our loan management software may be a closer fit.
