How to Choose Temple Management Software in Nepal

The best temple software is the one your treasurer, your counter volunteer and your auditor can all use without a long lesson. Features matter less than whether the record is correct, readable by the next committee and easy to hand over. This guide lists what to check before you choose, the mistakes committees often make and the questions to put to any vendor, including us.

Start with the problem, not the product

Write down what goes wrong today. Most committees name the same few things: receipts that do not match the notebook, rent that nobody chases, a festival fund that gets mixed with the daily fund, and a long scramble before the audit. Software is worth buying only if it removes those problems. If your trouble is mainly that gifts are not recorded at all, the first fix is a habit and a receipt book, and software simply makes the habit easier to keep.

Also decide who will use it. A small shrine with one volunteer needs a very simple screen. A large temple with a trust office, tenants and several counters needs permissions and reports. Buying the bigger system for the smaller job leaves features unused and people confused.

What a temple system should cover

  • Donation receipts with a running number, date, donor, purpose and mode of payment.
  • Accounts with a cash book, bank book and ledgers using heads you choose.
  • Puja and event bookings if you sell tickets or accept advance bookings.
  • Property and rent if you hold land, rooms or shops.
  • Funds so that restricted gifts stay restricted.
  • Reports for the monthly meeting and for the auditor.

Not every temple needs all of these. A guthi that mainly collects rent may care most about tenants and arrears, while a popular temple may care most about counters and bookings. Ask the vendor to switch on only what you need. Our own temple, guthi and trust software is built as modules for exactly that reason.

Checks that show quality

Can a receipt be edited or deleted quietly?

This is the most important question. A good system does not let anyone silently change a receipt after it is issued. Corrections should be a cancellation or a reversal that is visible in the history, with the user and time. That protects honest treasurers as much as it catches dishonest ones.

Does it use Bikram Sambat dates properly?

Your festivals, fiscal year and meetings follow the Nepali calendar. Check that the system accepts BS dates, sorts by them and shows the fiscal year starting in Shrawan. A system that only handles English dates will cause errors every month.

Can you get your data out?

The records belong to the trust. Ask whether you can export donors, receipts and ledgers to Excel or PDF at any time, without paying extra. If a vendor makes this difficult, you are renting your own history.

Who can see what?

The counter volunteer should be able to issue receipts but not edit the ledger. The secretary may view everything. The chairperson may only approve. Role-based access is not a luxury for a temple handling large festival collections.

Common mistakes committees make

MistakeWhy it hurts
Choosing on the lowest quote aloneMissing modules and support are added later and cost more in time.
Letting one person hold the only loginThe system becomes a new private notebook.
Skipping opening balancesReports start wrong and never reconcile with the bank.
Ignoring the deed and rulesThe records do not match what the registering office expects.
No training for counter staffStaff go back to paper because the screen feels unfamiliar.

Questions to ask any vendor

  1. Can we see a demo using our own account heads and fund names?
  2. How are corrections and cancellations recorded?
  3. Who owns the data and how do we export it?
  4. What happens if the vendor stops supporting the product?
  5. How is support given, and in which language and hours?
  6. Can the system send receipts and thank-you messages by SMS or WhatsApp, and who pays for the gateway?
  7. What is the full price, including setup, training, hosting and yearly renewal?

Ask for the price in writing after the demo. Be careful with anyone who quotes a number before understanding your temple, because a trust with tenants and funds is a different job from a small shrine.

Respect your constitution and local rules

Software records what your trust is required to record, but the rules come from your deed, constitution and the local level or Guthi Sansthan where they apply. A good vendor will ask for these and configure around them rather than telling you what the rules are. If you are unsure what your trust must report, ask the office where you are registered, then tell the vendor.

Think about the people, not only the screen

A system succeeds when the people at the counter accept it. Visit the vendor's demo with the volunteer who actually sits at the counter, not only the chairperson. Ask that volunteer to issue three receipts and cancel one. If the steps feel natural, adoption will be easy. If they feel awkward, ask for the screen to be simplified before you sign. Also ask how new volunteers will be taught each year, since temple helpers change often, and whether short training videos or a WhatsApp support line are available.

Finally, plan the first month. Start with receipts only, add bookings the next month and bring in property and rent after that. A gradual start keeps mistakes small and builds confidence across the committee.

A sensible next step

Before talking to any vendor, collect three things: your last year of receipt books, a list of tenants or property and the format the auditor wanted. Bring them to the demo. If you also collect gifts for campaigns, read about donation and fundraising software.
