Travel Agency Software ยท Guide
How to Choose Travel Agency Software in Nepal
The right travel agency software is the one your counter staff will actually use on a busy Friday afternoon, not the one with the longest feature list. Before you compare vendors, decide what pain you are trying to remove: lost passenger details, unknown customer dues, or no idea of real profit per sale. Everything else is secondary.
Start with your own workflow, not a demo
Write down the path of one ordinary sale. A customer messages on WhatsApp, asks for a fare, you quote, they confirm, you issue through your usual channel, they pay part now and the rest later, and you owe your supplier on a different date. Good software follows this path without forcing staff to type the same details three times.
Ask the vendor to enter that exact sale in front of you. If it takes more than a couple of minutes or needs workarounds, daily use will be painful.
Features that genuinely matter
- Passenger profiles: one record per traveller that you can search by name, phone or passport number, with repeat trips visible.
- Ticket register: selling price, supplier cost, taxes, service charge and the resulting margin on every line.
- Receivables: part payments, a due list and customer statements you can send on WhatsApp.
- Payables: what you owe each airline, hotel or partner agent and when.
- Commission rules: for staff, branches or sub-agents, calculated rather than guessed.
- Reports by Bikram Sambat month: because your accounts and fiscal year follow it.
Be clear about what it will not do
Many owners assume software will issue tickets or talk to airlines directly. Some systems in the market claim integrations that are expensive, restricted or simply not available to small agencies. Ask a direct question: does it record tickets you issue elsewhere, or does it claim to issue them itself? If a vendor promises a direct connection, ask exactly which airline, under which agreement, and who pays for access.
WebsNP takes the honest route: our travel agency software keeps the records of what you issue through your normal channels and can be configured around the way you work. It does not pretend to be an airline system.
Questions to ask every vendor
| Question | Why it matters |
|---|---|
| Who owns the data and can I export it? | You should be able to take your customers and ledgers with you. |
| What happens if I edit an issued invoice? | Edits should be logged so staff cannot quietly change money records. |
| Can staff see only what they need? | Counter staff rarely need to see total profit. |
| Who answers when something breaks? | A local support contact on WhatsApp beats a ticket queue abroad. |
| Is customisation possible? | Your document checklist and commission rules will not match a generic template. |
| How is the backup handled? | Your passenger and money records are your business. |
Common buying mistakes
The first mistake is buying by price alone. A cheap tool that cannot track part payments will be abandoned within a month, and the real cost is the staff time you wasted on it. The second is choosing a system built for a foreign market, where tax, dates and payment habits do not match Nepal. The third is skipping the training, so only the owner understands the screens.
A fourth, quieter mistake is trying to migrate everything at once. Start with open balances, upcoming travellers and active suppliers. Old closed history can follow later.
Check support and local fit
Nepali agencies work on Bikram Sambat dates for accounts, AD dates for flights, and a mix of cash, cheque, bank transfer and QR payments. They also run on WhatsApp. Test whether the software handles part payments in two modes for one invoice, shows both calendars, and produces a quote text you can paste into a chat. VAT at 13% should be configurable by line, since how it applies depends on the service and your registration. Confirm treatment with your accountant rather than trusting any vendor's default.
Think about growth, not only today
An agency with two staff today may have a branch in Pokhara or a sub-agent network in two years. Ask whether the system can add users, branches and sales channels without a rebuild, and whether reports can be filtered by branch or staff member. Also ask how data is backed up and what happens to your records if you stop paying. A responsible vendor will let you export customers, invoices and ledgers in a standard format such as Excel.
Ask for a reference conversation with an owner in a similar business, but treat any glowing claim carefully and test the software yourself. A trial with your own sample bookings tells you more than any brochure.
Training and the first month
Even the best system fails if the counter team is not comfortable. Insist on hands-on training using your own examples, a printed or video cheat sheet for the five tasks staff do every day, and a named person to message when someone is stuck. In the first month, expect small adjustments to fields and reports. A vendor who treats those requests as normal, rather than as billable surprises, is a good sign.
Finally, agree who inside your agency owns the system. One person, often the senior accountant or the owner's relative, should be responsible for user permissions, month-end checks and liaison with the vendor. Without an owner, software slowly decays into a place where only half the sales appear.
Your next step
Pick three real sales from last week, including one awkward one with a part payment and a cancellation. Ask any vendor you are considering to enter them live. If you would like to see this done on your own examples, message WebsNP on WhatsApp at +977 9846280400 and we will arrange a demo and a quote. If you also need group tracking for activity operators, see our trekking and tour operator software.
