How to Manage Passenger Records and Ticket Sales
A travel agency that cannot answer "who is travelling on the fourteenth and have they paid?" in thirty seconds has a record-keeping problem, not a sales problem. Here is a routine for passenger and ticket records that works with software and, honestly, even before you buy any.
Step 1: create the passenger once
Every sale should start by finding the traveller, not typing them again. Search by phone number first, since customers change surnames in spellings but rarely change numbers. If the person is new, create a profile with the name exactly as on the passport, a contact number, an alternate number of a family member and a note on who referred them.
Passport number and expiry belong in the profile too. A reminder for upcoming expiry is one of the easiest ways to look attentive and win repeat business.
Step 2: log the enquiry before the sale
Most revenue is lost between "how much?" and "I will confirm tomorrow". Log enquiries with a date, the destination, the quoted amount and a follow-up date. A simple list of open enquiries, checked every morning, converts better than any advertisement.
Step 3: record the ticket with cost and price
When you issue a ticket through your usual airline or portal channel, record these fields straight away:
- Passenger name and the sector, travel date and airline.
- Reference or booking code from your supplier.
- What the supplier charged you.
- What you charged the customer, split into fare, taxes and your service charge.
- Whether it is confirmed, held, changed or cancelled.
Doing this at the moment of issue, not at the end of the day, is what stops tickets from going unbilled. The software is only a record of what happened, so the discipline is yours; a good system makes it quick.
Step 4: take payments in parts and record each one
Nepali customers often pay part in cash, part by QR and the rest after salary day. Record every instalment against the invoice with its mode and date. The invoice should always show the original amount, what has been received and what is still due. Avoid the habit of editing the invoice amount to reflect payments, because it destroys the audit trail.
| Event | What to record |
|---|---|
| Customer confirms | Invoice with passenger, service, amount |
| Advance received | Receipt with mode and date |
| Ticket issued | Supplier cost and reference |
| Balance received | Second receipt, invoice shows settled |
| Cancellation or change | Credit note or adjustment, with the reason |
Step 5: handle changes and cancellations cleanly
Changes are where agencies lose money quietly. A date change may carry a supplier penalty and your own service charge. Record the new cost, the penalty and what you collected from the customer as separate lines. When a ticket is cancelled and a refund is expected from the supplier, create a pending receivable from the supplier so you remember to chase it.
Step 6: close the day
At closing time, compare cash and QR collections in your records to what is physically in the drawer and the wallet. Then check three lists: tickets issued today without an invoice, invoices with no supplier cost, and travellers departing within the next three days who still owe money. These checks take ten minutes and catch most leaks.
Documents and group travellers
Family and group bookings need extra care. Create one lead contact, link every traveller to that contact and keep a document checklist for each person: passport copy, photo, visa application, vaccination or other papers required by the destination. Rules differ by country and change over time, so confirm requirements with the embassy or your supplier rather than relying on an old note. In your records, store only what you need, keep copies secure and delete scanned documents once the trip and any dispute window are over.
For corporate clients, add an employee or purchase-order reference to each ticket. At month end the company will want one statement listing every traveller, route and amount, and that reference is what lets their accounts team match your invoice to their own books without calling you.
Handling urgent and after-hours requests
Many changes arrive late in the evening or on Saturday, when Nepali offices are closed but travellers are not. Decide in advance who may approve a change, how it is recorded and when the charge is raised. A one-line note in the booking, entered the same night, saves an argument on Sunday. If staff use personal phones for customer chats, copy key decisions into the booking record so the information belongs to the agency and not to one person's phone.
Where software helps
With a notebook, these steps depend on one careful person. With WebsNP travel agency software, the passenger search, the ticket register, part-payment receipts, supplier payables and the day-close lists are built into the screens, and staff roles limit who can edit an issued record. For follow-ups, pair it with bulk SMS and WhatsApp messaging so reminders go out without anyone retyping them.
