How to Choose Trekking Agency Software for Nepal
Trekking software is worth buying only if it handles the messy parts of your business: groups that grow and shrink, staff who move between trips, clients paying in other currencies and paperwork that has to be ready before a flight to Lukla or a jeep to Besisahar. Generic booking tools built for hotels or salons rarely understand that. Here is how to judge what fits.
Begin with your trip lifecycle
Write down what happens from first enquiry to the day the group returns. A typical journey runs: enquiry by email, itinerary sent, deposit received, passport details collected, permits and registrations arranged, staff assigned, equipment issued, trip run, costs settled, feedback requested. Software should support each stage and link them together, so that the details a client types once appear wherever they are needed.
The features worth testing
- Itinerary library: reuse day-by-day plans and adjust per client without retyping.
- Departure management: capacity, confirmed count, waiting list and who has not yet paid.
- Client files: documents, emergency contacts, insurance notes and dietary needs in one place.
- Staff roster: guides, assistants and porters shown by date, with clashes flagged.
- Trip costing: a budget before the trip and actual costs afterward.
- Multi-currency receipts: original amount, rate and NPR value.
- Agent accounts: statements and commission for overseas partners.
Ask what it will not do
Some vendors blur the line between recording permit work and performing it. Be direct: does the software submit anything to a government office, or does it keep your own checklist and status? The honest answer for a small-vendor product is almost always the latter. A tracker is still valuable, because most trouble comes from forgotten steps rather than from the form itself. Do not rely on any software to tell you current permit fees or rules; those are set by the authorities and can change, so confirm them with the official source each season.
WebsNP builds the trekking and tour operator system on this principle: it tracks your records and can be configured around your processes without claiming to be anything it is not.
A demo script you can use
| Task | What good looks like |
|---|---|
| Create a ten-person autumn departure | Capacity, price and dates set in under two minutes |
| Add a client who pays a deposit in dollars | Receipt shows original and NPR value |
| Assign a guide who is already on another trip | System warns of the clash |
| Mark a document as missing | Client appears on a pending list |
| Close the trip | Actual cost compared with budget, margin shown |
Consider your team, not only your head office
Your trip leaders may be excellent on the trail but unfamiliar with software. Ask whether a roster, a client summary and an emergency contact sheet can be printed or shared as a simple message before departure. Systems that demand a live connection from a mountain village are not realistic. You want information prepared in the office and carried with the group.
Data, privacy and ownership
Client passport copies and medical notes are sensitive. Ask where data is stored, who at the vendor can see it, how backups work and whether you can export everything. Restrict access so that only the staff who need documents can open them, and decide how long you keep scans after a trip ends. If you would be embarrassed to see a client file leaked, treat it with that level of care.
Support during the season
The worst moment for software to fail is the week before the busiest departures. Ask how support works in your peak months, who answers on WhatsApp and whether urgent fixes are possible after office hours. Local support in Kathmandu in your own time zone is a real advantage over a distant vendor.
Agents, repeat clients and the sales side
Much of a trekking agency's revenue comes through overseas agents and repeat clients, so the sales side of the system matters as much as operations. Check that you can tag every booking with its source (direct website, agent, referral or walk-in), see how many enquiries convert and view the history of each agent in one place. A client who trekked with you in spring and returns for a climb in autumn should be recognised instantly, with their previous notes and preferences ready.
Look also at how the system helps you reply fast. Prospective trekkers write to several agencies at once, and the first clear, accurate answer usually wins. Itineraries and quotation texts generated from stored templates let you respond in minutes instead of hours, while keeping prices consistent across staff.
Reports an owner actually reads
Ask to see the reports, not only the data entry screens. Useful ones for a trekking company include bookings by route and month, deposits due this week, departures that have not reached the minimum, profit by trip and revenue by source country or agent. If the vendor cannot show these quickly, you will end up exporting to Excel anyway, which defeats the purpose.
Common mistakes
Buying a system designed for hotel bookings and forcing trips into rooms, skipping the staff roster because "we know who is where", and switching in the middle of the season are the usual errors. Pick a quiet period, migrate open bookings first and run one departure in parallel before relying on the new system fully.
Next step
Choose one real upcoming departure and list the ten things your office must do for it. Ask any vendor you consider to show those ten tasks.
