Trekking Agency Software vs Excel and Email Compared

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Most trekking agencies grow on email, Excel and WhatsApp, and many do it very well. The question is when that stack stops being cheap. This article compares the manual approach and dedicated software, without inventing numbers, so you can estimate the real cost for your own company.

What the manual stack does well

Email is perfect for relationship-building with overseas agents. Excel is flexible for a quick roster or budget. WhatsApp reaches guides and drivers instantly. If you run a handful of departures a season with one experienced coordinator, this setup is fast and nearly free.

Where it breaks as you grow

  • Information is duplicated: a client's name and passport number appear in the email, the roster, the transport request and the invoice, each typed separately.
  • Versions drift: the roster sent to the lodge differs from the one the guide holds.
  • Knowledge sits with one person: if the coordinator is sick in October, nobody knows the status of any trip.
  • Money is hard to follow: deposits in different currencies across bank, wallet and cash do not add up neatly.
  • Trip profit is discovered late: the true margin appears weeks after return, if at all.
  • No reminders: missing documents and balances rely on someone remembering to ask.

The cost drivers to measure

DriverHow to measure in your agency
Coordinator hours on retypingTime one booking from enquiry to roster entry
Late or missing paymentsList deposits and balances received after the due date
Under-costed tripsCompare budget with actual on your last five trips
Staff scheduling clashesCount last-minute guide replacements
Client complaints about confusionReview feedback for mentions of unclear instructions

Place a money value on each over one season. That total is the true annual cost of the manual stack.

What software costs and what drives the price

We do not publish fixed prices, because needs differ. The main drivers are the number of office users, how many trip types and document checklists must be configured, the data you want to import, any custom reports and the level of support during the season. WebsNP gives a quote after a demo. As a rough principle, a system makes sense when the annual cost of mistakes and wasted time you measured above exceeds the yearly cost of software and its upkeep.

What software will not fix

It will not run a trek, negotiate with lodges or replace the judgement of an experienced leader. It will not file permits for you. It cannot make a disorganised process organised; you still need clear steps. But it makes the steps visible, keeps data in one place and reduces the number of times a human must copy a detail. See the trekking agency software page for the modules we configure.

A worked example with illustrative numbers only

Imagine, purely as an example, that in one season you find three kinds of loss. First, a few departures where the lodge bill exceeded the budget and nobody noticed until the accounts were closed. Second, deposits that arrived late, which forced you to carry costs for weeks. Third, around two office-days a month spent rebuilding rosters after changes. Put your own figures against each and add them. If the total is a meaningful share of one trip's margin, you are already paying for software without receiving it.

The reverse is also true. If you run three or four departures a year, know every client personally and have never lost track of a payment, the cost of switching may exceed the benefit. We would rather tell you that than sell you something early.

Email and software work together

You do not stop emailing agents. The system keeps the structured record behind the conversation: who booked, what was agreed, what was paid. Itineraries and confirmation texts can be generated from stored data, so what you send always matches what is recorded. Many agencies keep one shared inbox and attach the key emails to the client file for context.

Seasonal staff and the handover problem

Many agencies hire extra office help only for the spring and autumn rush. Each new person needs to learn your routes, your client communication style and your recording habits in days, not weeks. A structured system with limited roles lets a temporary assistant enter bookings and chase documents without access to margins or bank details. With Excel and email, you either share everything or train for a long time.

Risk and resilience

Consider what happens if a laptop is lost or an email account is locked in the middle of the season. A well-run hosted system with regular backups protects against that. A spreadsheet on one machine does not. Think also about staff turnover: handing over a documented system is far easier than handing over a coordinator's head.

Making the switch with minimal pain

Pick the quiet months, import contacts and upcoming bookings first, and run one departure in parallel. Train the whole office including the person who manages guides. Review after the first season and adjust. For a hotel-style lodge business on the side, our hotel management software follows similar principles.
