How to Choose Veterinary Clinic Software in Nepal
Choosing veterinary clinic software is mostly a question of whether it fits the way your practice runs. A clinic that sees only pets in a city needs one thing. A vet who spends half the week on farm visits needs another. A shop with a consultation room needs both plus stock. This guide lists what to check, so you can judge any product, ours included, with a clear head.
Start with the owner and animal structure
The first test is how the software models people and animals. A pet owner may have three animals. A farmer may have thirty or a herd group with a shed name. Ask the vendor to create an owner with several animals, then a farm with a group of animals, and find them again by phone number. If searching by name only is possible, you will struggle with common names like Ram or Sita. Phone number search saves time.
Check what the animal record holds. You should see species, breed, age or date of birth, sex, colour or markings, weight at each visit and a photo. Check that history appears as a timeline, so you can see every visit in order.
Vaccination and follow-up tracking
Vaccination reminders are the feature owners value most. You want to enter a vaccine with a date and a next due date, and then see a list of animals due in the coming week. Ask whether you can send a message to the owner from that list. Ask what happens when you record a new dose, does the old reminder disappear? Remember that the schedule is your vet's decision. The software is a tool for recording it, never for choosing it.
Farm visits and travel
If you do farm calls, ask how a visit is recorded. You want a visit record with the date, farm, animals seen, notes you typed, medicines used and a charge, including any travel. The bill should be created from that visit, not retyped. Ask what happens when connectivity is poor. Many vets note details on paper or a phone and enter them later, so entry should be quick.
Medicine and retail stock
- Can medicines be received with batch numbers and expiry dates?
- Does the system warn about items close to expiry?
- Can one bill include a consultation, a medicine and a bag of feed?
- Is stock reduced automatically when you sell?
- Can you handle both a loose tablet and a full strip?
Pet food, accessories and medicines have different rules, margins and shelf lives, so a good system lets you categorise them separately.
Billing, VAT and credit
Look for invoices in NPR that can be set up for 13% VAT where your business is registered, and numbered consecutively. Many farmers pay at harvest or when milk money arrives, so an owner ledger with part payments matters. Ask for a report of pending balances by owner and by age of the debt.
Support and data
Ask how support works, who answers, in what language and in which hours. Ask how your data is backed up and whether you can export it. A vet clinic that loses two years of animal history has lost real value. Also ask whether more than one person can use it at once, say the vet, the assistant and the counter.
Red flags
- A price quoted before anybody asks about your practice.
- No way to export your data.
- A demo built only for human clinics, with human terms like patient and OPD.
- Promises of medical advice or automatic diagnosis. Records are not diagnosis.
Test it with three real cases
Do not accept a polished demo with invented names. Give the vendor three cases from your own week. First, a pet dog returning for a booster, whose owner has lost the card. Second, a farm call where you treated two cows and a calf, used four medicines and charged for travel, and the farmer paid half. Third, a walk-in who buys a bag of feed, a collar and a dewormer from the shop counter. Watch how many screens each takes and whether the vendor needs to improvise. If the answer to any of the three is "we can customise that later", ask exactly what will be changed, by when and at what cost, in writing.
Think about the people using it
The most capable system fails if the assistant at the counter finds it confusing. Check that the screen language is plain, that common actions are one or two clicks away and that mistakes can be corrected with a reason instead of causing panic. If your staff are more comfortable with Nepali labels or Nepali messages to owners, say so at the start. Ask for a short training session as part of the package, and ask who they should call when something looks wrong on a busy morning. A vendor who answers on WhatsApp quickly is worth more than one with a longer feature list.
Plan for growth
A single-room clinic today might add a second vet, a boarding area or a mobile service next year. Ask whether extra users and branches can be added later and how data from both will be reported together. Choosing software that fits only today's size is an expensive habit.
Your next step
Write down how many animals and owners you have, whether you do farm visits and whether you sell retail. Then look at WebsNP veterinary clinic software and message us on WhatsApp for a demo using your own cases. If your pet shop is the bigger part of your business, POS billing software is worth a look too.
