10 Common Accounting Mistakes in Nepali Small Business

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Most accounting problems in small Nepali businesses are not complicated. They are habits: a bill kept in a pocket, cash taken from the drawer without a note, a customer balance nobody chases. Below are ten that appear again and again, with a fix for each. Tick them off against your own books.

Cash and personal money

1. Mixing personal and business money

Paying household bills from the shop drawer makes profit impossible to read. Fix: record every withdrawal as owner drawings with a voucher, and pay yourself a regular amount.

2. Not counting cash daily

If the cash book is not matched to the drawer at close, small differences grow into mysteries. Fix: count at closing, write the figure, and investigate any difference the same day.

3. Treating the bank statement as the books

A bank statement shows what cleared, not what you owe or are owed. Fix: reconcile each month, listing issued but uncleared cheques and deposits in transit.

Sales, purchase and credit

4. Bills without the right details

A purchase bill with no supplier PAN, no date or the wrong business name can create problems when you claim VAT credit. Fix: check every bill on receipt and reject or correct it straight away.

5. No party ageing

Udharo is normal in Nepali trade, but unknown udharo is dangerous. If you do not know which customers are 30, 60 or 90 days overdue, you cannot collect. Fix: print a party ageing report every month and call the top five.

6. Letting invoice numbers jump

Missing or duplicate invoice numbers invite questions. Fix: use a single running series per fiscal year and keep cancelled invoices marked as cancelled.

Tax and compliance

7. Forgetting TDS deposits

Deducting TDS and then not recording or depositing it creates a liability that grows quietly. Fix: keep a TDS payable ledger with a balance you review every month, and confirm deadlines on ird.gov.np.

8. Mixing taxable and exempt sales

One VAT total for everything hides errors. Fix: set the treatment on each item once, so invoices and registers follow automatically. Ask your tax consultant if you are unsure about a product.

Control and records

9. One person, one file, no backup

If all the books live on one computer and one accountant, a hard disk failure or a resignation can stop the business. Fix: automatic daily backups to a second location, separate user logins, and a second person who knows how to read the reports.

10. Leaving everything for Ashad

Entering a year of bills in the last month is how mistakes become permanent. Fix: post weekly, review monthly, and use Ashad only for adjustments and audit support.

Three habits that prevent most of the above

First, a fixed weekly slot. Every Friday, or whichever day suits you, the accountant posts all pending bills and the owner reviews cash, bank and the top overdue parties for fifteen minutes. Second, one door for money. Cash and cheques are received and paid out only through a voucher, even for small amounts, so the books never depend on memory. Third, a monthly page for the owner with only five numbers: sales, purchases, cash and bank, receivables and payables. If those five are right, the rest usually follows.

These habits cost nothing. They also make any move to accounting software far smoother, because the data you migrate is already in order. Businesses that arrive at a demo with reconciled balances and a clean party list usually go live in a fraction of the time of those that bring a box of loose papers.

A quick self-audit

QuestionHealthy answer
When was cash last counted?Today or yesterday
When was the bank last reconciled? This month
Can you list customers owing for more than 60 days?Yes, within minutes
Is every purchase bill posted?Within a week
Does your TDS payable balance match deposits?Yes
Is there a backup from last night?Yes, and it has been restored once as a test

How to fix them without stopping the business

You do not need a clean-up project. Fix one habit per week. Week one: cash counted every evening. Week two: all purchase bills checked for PAN and posted within three days. Week three: a party ageing list printed and the five largest overdue customers called. Week four: bank reconciled for the month. After a month you have four new routines and a visible improvement in how much you trust your numbers.

Write the routines on a single sheet and pin it near the accountant's desk. When a new person joins, the sheet is their first training document. When the owner is away, the routine still runs. This is boring, and that is the point: good accounting is mostly boring things done on time.

What software can and cannot fix

Software enforces double entry, keeps registers consistent, shows ageing and logs who changed what. It cannot make a person ask for a proper bill or count the drawer. The best results come from combining a few simple habits with a system that makes the right way the easy way.
